In the electronic age we find ourselves in, there is nothing I hate more than to climb into an old fashioned filing cabinet looking for example, for a consent form that a) I hope we received back and b) I hope that the office lady or whoever was doing filing, filed correctly. 60% of our learners' surnames start with an M so it's QUITE a mission!
It would be a terrific idea for d6 to allow document uploads for each student. i.e Completed application forms, signed consent forms, re-registration documents, etc. and I base this on the following reasons:
- It is safer than stashing it in a filing room and possibly getting it misfiled (In my opinion, filings cabinets are nothing other than a fire hazard!)
- Allows authorised staff to access these documents when they're working from home.
- Covid-safe as fewer (if any) people touch the physical paperwork.
- Safer from a POPIA perspective as there aren’t any forms floating around on teachers’ desks.
- Timesaving. I have had to pull documents for attorneys and/or auditors and it is really time-consuming – especially when I am not at the school office.
- Cost Saving - Many parents receive the forms and send them electronically so why should I have to print it out again just to place it in the learner's file for safekeeping? Unecessary printing and paper costs.
- More environmentally friendly. I shudder just thinking of all the poor trees that I could have saved over the years. The school environment has a seemingly endless number of forms and parent agreements.
From a d6 perspective, this could result in additional income as I would HAPPILY pay for such a service.
