Overview

This article explains what an accountable person is in d6, how to assign one during enrolment, and what it means for billing and statements.

Purpose of feature

The accountable person is the individual legally responsible for the learner's school fees. They receive all account statements and financial correspondence. Assigning the correct accountable person at enrolment ensures accurate billing from the outset.

Step-by-step instructions

Assigning an accountable person

  • On Step 6 of enrolment, select the individual who will be legally responsible for the account.

  • This is typically one of the parents captured in Steps 4 or 5, but can be a third party (e.g., a guardian or sponsor).

If a parent is selected

  • The selected parent automatically receives all account statements.

If a third party is selected

  • The third party receives the account statements.

  • You can opt to also send copies to the parents by enabling the relevant option on this step.

Saving

  • Click Save Learner to complete enrolment, or Save Learner and Add Subjects to proceed to subject allocation.

What is an accountable person?

Can the accountable person be someone other than the parent?

Yes. A third party such as a guardian, sponsor, or relative can be selected. They will receive statements directly, and copies can optionally be sent to the parents.

Can I change the accountable person after saving the learner?

Yes. Navigate to the learner's profile and update the accountable person from the billing section. The change will apply to future statements.
