How to set up Discipline Actions

The Action Setup function allows you to configure discipline actions that are automatically triggered when a learner reaches a set number of violations. Actions can include letters for detention, interviews with parents, and more. Only violations are currently supported.

  • A list of pre-set actions is already loaded in the system. These can be edited or new actions can be created.

  • The list can be filtered to show All actions, Violations only, or Recognitions only.

  • Ensure that both the Categories and Conduct sections are set up before proceeding.

How do I edit or delete an action?

  • Edit: Click the Edit button next to the action to change the name, minimum points threshold, and other details.

  • Delete: Click on the action, and then on Delete to remove it.

How do I create a new action?

Code of Conduct action information:

  1. Click on Create an action button.

  2. Select the Action is taken for type (e.g. Violations) from the drop-down.

  3. Enter the Description in both Afrikaans and English. Both fields are compulsory (marked with a red *). Without both languages, letters and reports may print in the wrong language.

  4. Select whether the action is taken by Number of accumulated marks or Number of violations/recognitions.

  5. Action is taken on Category:  Choose if a specific category must trigger this action or if any category can. Select from the Any Category drop-down.

  6. Enter the minimum point value. Violations use negative numbers (e.g. − 5) and recognitions use positive numbers (e.g. 5). When a learner reaches this threshold, the system automatically generates the configured letter.

  7. Select Yes if this is a detention action.

  8. Select Yes if you want to show a task for unverified action control entries.

  9. Select this action from the drop-down (e.g. Generate Letter to Parents). Best practice for violations is to generate a letter to parents.

Letter information:

  1. Select the letter type from the drop-down (e.g. Letter of Transgression — No Detention). Letters are pre-programmed in the system.

  2. Select how the letter cycle should be printed (Recurring or otherwise).

  3. Choose whether the educator name should be printed on the letter.

  4. Click Save to add the action.

Frequently asked questions

I set up an action but do not receive a task to generate discipline letters. What is wrong?

Check that the minimum point value is not set too high. For example, if the minimum is set to −50 and each violation has a value of −1, the learner must accumulate 50 violations before the letter triggers. Lower the minimum (e.g. to −15) or increase the value of individual conduct items (e.g. from −1 to −5).

Do I need to enter descriptions in both languages?

Yes. Both the Afrikaans and English descriptions are compulsory. If only one is entered, letters and reports may print in the incorrect language.
