How to generate an age analysis report

The Age Analysis report generates a detailed breakdown of outstanding debtor balances by age category. This article explains how to configure and generate the report.

How do I generate an age analysis report?

The screenshot below shows the age analysis configuration screen.

  1. Select the date for the age analysis.

  2. Choose whether the analysis should be for School debtors, Ledger control account, or Collector.

  3. Choose between All accountable persons, Only accountable persons with current learners or Only accountable persons with learners that is not currently in the school

  4. Choose whether to run the report per billing category or for all billing categories. If per billing category, select the relevant category.

  5. Choose to display the analysis per Learner, Accountable person, or Register class.

  6. Choose to show Debit, Credit, Zero, or All balances.

  7. If displaying per learner or accountable person, choose to sort by Debtor reference or Debtor code.

  8. Click Preview to generate the report as a PDF. Adobe Acrobat Reader is required to view the document.

Frequently asked questions

Can I run the age analysis for a specific collector?

Yes. In step 2, select Collector as the analysis type. The report will then reflect only the balances assigned to that collector.

How do I see only accounts with outstanding debit balances?

In step 6, select Debit to show only accounts with amounts owed to the school.

What software do I need to view the age analysis report?

The report is generated as a PDF document. You will need Adobe Acrobat Reader (or any compatible PDF viewer) installed on your device to view it.

Can I filter the report by a specific billing category?

Yes. In step 4, choose  Select billing category and then choose the specific category you want to analyse. This is useful when you want to isolate school fees, transport, or another specific fee type.

What is the difference between sorting by Debtor reference and by Debtor code?

Debtor reference sorts the report alphabetically by the family surname. Debtor code sorts it by the unique family code assigned in the system. Use family code sorting when you need to match the report to a specific numbering sequence.
