ALTIVOSponsor Management

This glossary defines the key terms used throughout Altivo and its support documentation. Use it as a quick reference when a term is unfamiliar or when you want to understand exactly what Altivo means by a specific word or phrase.

Core entities

  • Allocation: The assignment of a specific asset to a specific sponsor for a defined time period, recording which asset the sponsor receives, when, how many units, and at what agreed value.

  • Asset: A sponsorship opportunity a school can offer. Examples include billboards, jersey branding, event naming rights, programme adverts, and digital screen placements.

  • Enquiry: A request submitted by a potential sponsor through the Sponsor Portal expressing interest in a specific asset. Enquiries can be accepted (creating a sponsor record) or declined.

  • Sponsor: A company, organisation, or individual that contributes cash, goods, or services to a school.

  • Sponsorship: A recorded contribution from a sponsor, containing one or more contributions (cash, goods, or services) each with a value and description.

Financial terms

  • Agreed Value: The actual value agreed between the school and sponsor for a specific allocation. May differ from the pro-rata value if a discount was applied.

  • Contribution: A single component of a sponsorship. One sponsorship can have multiple contributions, each with a type (Cash, Goods, or Services), a value, and a description.

  • Discount: Pro-rata value minus agreed value. If the agreed value equals or exceeds the pro-rata value, the discount is R0.

  • Pro-Rata Value: The calculated fair-market value of an allocation based on the asset's price, duration type, allocation period, and number of units. Computed automatically by Altivo.

  • Total Allocated: The sum of all allocation agreed values for a sponsor.

  • Total Sponsored: The sum of all sponsorship contribution values for a sponsor.

  • Unallocated Value: Total sponsored minus total allocated. Represents money contributed but not yet assigned to specific assets.

Asset terms

  • Asset Category: A classification of what the asset is used for. Options: Billboard, Event Activation, Digital, Naming Rights, Jersey/Kit, Programme Advertising, PA System, Other.

  • Available Units: Total units minus units allocated.

  • Booking Rate: Units allocated divided by total units, expressed as a percentage.

  • Duration Type: How an asset's price is measured. Options: per week, per month, per year, once-off, or per event.

  • Total Units: The total number of instances of an asset that exist.

  • Unpriced Asset: An asset with no price set (null). Requires manual value entry on allocations and does not appear on the Sponsor Portal.

Status terms

  • Allocation Status: Draft, Pending, Active, Fulfilled, Completed, Cancelled.

  • Availability Status: Available (at least one unit free) or Booked (all units allocated).

  • Enquiry Status: Pending, Accepted, Declined.

  • Expiry Status: OK (60+ days remaining), Warning (30-59 days), Critical (1-29 days), Expired (past end date).

  • Sponsor Status: Prospect, Active, Lapsed, Declined.

Tax and compliance terms

  • PBO Number: Public Benefit Organisation number issued by SARS. Schools with a PBO number can issue Section 18A tax receipts.

  • Section 18A: South African Income Tax Act provision allowing donors to deduct cash donations to approved PBOs from their taxable income.

  • Section 18A Reference: Auto-generated reference number in the format 18A-{PBO number}-{tax year}-{sequence}.

  • Tax Year (South Africa): Runs from 1 March to 28/29 February, labelled by the ending year.

Platform terms

  • AI Advisor: AI-powered assistant that can summarise data, benchmark performance, and suggest sponsorship packages.

  • Multi-tenant: Architecture where each school is completely isolated - no school can access another's data.

  • Soft Delete: Records are marked as deleted and hidden but data is preserved for audit integrity.

  • Sponsor Portal: Public-facing page for browsing available assets and submitting enquiries. No login required.

  • Sponsorship Level: A classification assigned to sponsors based on total spend. Default tiers: Bronze, Silver, Gold, Platinum.

  • Weekly Reach: Student count multiplied by 5 (school days). Shown on the Sponsor Portal.

Frequently asked questions

What is the difference between pro-rata value and agreed value?

Pro-rata value is the system-calculated fair price based on the asset's pricing and dates. Agreed value is what the school and sponsor actually settle on. If the agreed value is lower, Altivo records the difference as a discount.

What does unallocated value mean in practice?

It means the sponsor has contributed money that has not yet been assigned to specific assets. A sponsor with R20,000 unallocated value has R20,000 sitting in their account with no asset placements to show for it.

What is the difference between allocation status and availability status?

Allocation status (Draft, Active, Fulfilled, etc.) describes the lifecycle of a specific allocation record. Availability status (Available or Booked) describes whether the asset still has free units, calculated from all active allocations combined.

What is a PBO number and do I need one?

A PBO (Public Benefit Organisation) number is issued by SARS to approved non-profit entities. You only need one if you want to issue Section 18A tax receipts to sponsors for cash donations. If your school does not have a PBO number, all other Altivo features still work normally.
