How to manage other debtor invoices

This article explains how to create, edit, copy, view and email other debtor invoices within the d6 financial management system.

How do I create an other debtor invoice?

  1. Click the Create an invoice button.

  2. Select the other debtor for whom you want to load an invoice.

  3. Click Continue.

  4. Select the payment terms of the invoice.

  5. Indicate whether the invoice is subject to tax.

  6. Indicate whether the invoice is payable by debit order.

  7. Enter the total of the invoice.

  8. Enter a description.

  9. Under Item, type the item you want to load or select it by clicking the drop-down arrow.

  10. Enter the quantity and unit price.

  11. Indicate whether VAT is included or excluded.

  12. Select the applicable project or general ledger account.

  13. Add extra lines by clicking Add lines if needed.

  14. Once the invoice is loaded, choose to Save provisional or Save.

  15. The invoice must then be posted.

How do I edit an invoice?

  1. Select the invoice by clicking the radio button next to it.

  2. Click Edit.

  3. Make the changes and click Save provisional or Save.

How do I copy an invoice?

  1. Select the invoice by clicking the radio button next to it.

  2. Click Copy.

  3. The system displays a confirmation. Select Yes to continue.

How do I view or email an invoice?

  1. Click the radio button next to the invoice and click Preview.

  2. To email the invoice, click the Email button.

  3. To print the invoice, click Preview — the invoice opens as a PDF which you can print.

Frequently asked questions

Can I delete an invoice after it has been saved?

Only invoices saved as provisional can be deleted. Once an invoice is saved finally and posted, it can no longer be deleted.

What is the difference between "Save provisional" and "Save"?

Save provisional keeps the invoice in draft status where it can still be edited or deleted. Save finalises the invoice and makes it ready to be posted.

How do I post an invoice after saving?

After saving the invoice, you must post it to record the transaction in the general ledger. Select the invoice and click the Post button.

Can I email an invoice directly to the debtor?

Yes. After previewing the invoice, click the Email button. The system will send the invoice in PDF format to the debtor’s registered email address.

Is the invoice number generated automatically?

Yes. For other debtors, the invoice number is automatically assigned by the system when you create the invoice.
