This article explains how to create, edit, copy and remove creditor credit notes within the d6 financial management system.
Finance > Creditors: Credit Notes
Click the Create a credit note button.
Select the relevant other debtor by clicking the drop-down arrow.
Click the Continue button.
Enter the date of the credit note.
The credit note number will be filled in automatically by the system.
Enter the amount of the note.
Enter a description.
Under Item, type a new item or select an existing item by clicking the drop-down arrow.
Enter the quantity and unit price.
Select the relevant project or general ledger account.
Add a line or delete unnecessary lines if applicable.
Select to Save temporarily or Save the credit note.
The Balance not allocated must always be zero, otherwise you will not be able to save the credit note.
If a credit note has been saved temporarily, select it by clicking the radio button and click Edit.
The system will take you to the first screen. Click Continue.
Make the necessary changes and click Save and send for approval.
Credit notes that have been saved finally cannot be edited.
Select the credit note you want to copy by clicking the radio button next to the note.
Click the Copy button.
The system will display a confirmation message. Select Yes to continue.
The copied credit note will be saved temporarily where you can edit it.
Select the credit note you want to remove by clicking the radio button next to the note.
Click the Remove button.
The system will display a confirmation message. Select Yes to cancel the credit note.
No, only credit notes that have been saved temporarily can be edited. Finally saved credit notes are permanent records.
It means the amounts on the credit note lines do not match the total amount. You must adjust the amounts so that the balance is zero before you can save.
Yes, the system automatically assigns a credit note number when you create a new credit note.
