Birthday SMS Setup



The system can be configured to send birthday messages to Learners, Parents or Staff members (referred to collectively as  ‘recipients’ in the rest of this document).  The system will generate an SMS according to the date of birth entered on the learner, parent or staff profile.

For each of these recipients, there are three options for how messages can be delivered:
A. Deactivate the service (If you do not want to use the birthday messages service) 
B. Automated service
C. Task-driven service

To setup or change the way how messages are delivered to each of these recipients, click on the relevant tab (Learners, Parents or Staff Members) and then select one of the following options:

DEACTIVATE THIS SERVICE

Choosing this option will deactivate the birthday message sending service for the relevant recipient group, which means that this function is completely turned off.  Remember to click Save to save your changes.

AUTOMATED SERVICE

The automated service is like “auto pilot”!  You set it up once and it will continue to run - even over the holidays! 

  1. All you need to specify is a time when the messages must be sent and which template to use.  
  2. Select the time that the messages should be sent out (from 07h00 - 18h00).
  3. Select a birthday message template from the list templates you have set up. A preview of the longest possible message in the two system languages are displayed on the screen with a SMS length calculator.
  4. Please note that this is only an estimated calculation and not the exact length of SMS messages that will be sent out. Remember to click on the “Save” button to save your changes. Changes made will be effected only on the next day.

TASK DRIVEN SERVICE

Choosing this option will generate a task under your My Home > Tasks screen on relevant birthdays.  
Please note that the “Save” button has to be selected for each recipient group to be effected.
If there are any birthdays on the current day, it will appear on your task screen for example: 
  • You have 3 learners who are celebrating their birthdays today. Click here to send birthday messages to them

  • You have 2 parents who are celebrating their birthdays today. Click here to send birthday messages to them

  • You have 1 staff member who is celebrating their birthday today. Click here to send a birthday message to them.

  • Select which Template to use and then select the learners who you would like to send the specific birthday SMS to. 
  • Click on Proceed
  • Click on the Continue button to send the SMS messages.

    CHANGING THE WAY THE SERVICE IS USED

    Should you want to change the way this service is used (for example, changing from Task driven to Automated), click on the relevant tab (Learners, Parents or Staff Members) and then select the new method that you want to use: A. Deactivate the service (If you do not want to use the birthday messages service) B. Automated service C. Task-driven service Please note that these changes will only be effected from the next day day messages to them
