How to manage Class Grouping

The Class Grouping feature allows you to divide learners into classes for the next academic year. Class divisions can only be done after the re-registration and promotion procedures have been completed.

Note: Complete all admissions before starting class grouping. The system will warn you if certain prerequisite steps are not yet complete.

How to group learners into classes

  1. Select the grade for which you want to do class grouping by clicking on the blue eye icon next to the grade.

  2. Select the class grouping for tuition language from the drop-down option.

  3. Select the grouping method by clicking on the down-arrow next to Method.

  4. Choose whether to take gender into account. If yes, the system will attempt to divide boys and girls evenly across classes.

  5. Enter the number of classes for the next year.

  6. Select the display order: Alphabetic or Academic.

  7. Click Continue to proceed.

  8. On the class layout screen, group learners into classes using the radio buttons.

  9. Click Save to commit your changes.

Important: You can edit the class grouping later to make adjustments, but do not select "Redo class grouping" as this will reset all your allocations.

Understanding learner totals

When you open a grade, the screen displays the following totals:

  • Re-registered: Existing learners who applied to continue in the school next year.

  • Not promoted: Learners who must repeat the same grade.

  • New admissions: Learners placed and accepted on waiting lists A or B.

Frequently asked questions

When can I start class grouping?

Class grouping can only begin after re-registration and promotion procedures are complete. The system will notify you if any prerequisite steps are outstanding.

Can I change class allocations after saving?

Yes. You can return to the class grouping screen and make adjustments at any time. However, avoid selecting "Redo class grouping" as this will reset all allocations.

Does the system consider gender when grouping?

Only if you select "Yes" for the gender option. The system will then attempt to distribute boys and girls evenly across all classes.
