Set up register classes

Register class setup assigns educators to classrooms and configures the foundation for attendance and class management. This is a crucial administrative task that must be completed only after register class grouping and class designation are finalised, as the year-end administrative process cannot be reversed.

Before starting this process, ensure that the register class grouping is complete and you have decided which classes will use the register feature.

How do I set up register classes?

  1. Locate the class in the class list that you want to configure.

  2. Click on the radio button next to the class name to select it.

  3. Click the Edit button at the bottom of the page.

  4. Enter a reference name for the register class (e.g., "Grade 10A" or "Senior Biology").

  5. Select the classroom number from the dropdown list.

  6. Select the educator responsible for this class from the staff list.

  7. Click the Save button to commit your changes.

  8. Repeat this process for all remaining classes that require register setup.

Important considerations

  • Year-end administrative lock: The administrative year-end process cannot be reversed. Any mass changes applied during setup must be changed by hand afterwards--plan carefully before saving.

  • Prerequisites must be complete: Do not begin register class setup until register class grouping has been finalised.

  • Educator assignment: Only one educator can be assigned to each register class. If educator changes are needed later, you must edit them individually.

  • Classroom numbers: Ensure classroom numbers exist in your system before attempting to assign them. Create missing classrooms in settings first.

Frequently asked questions

What happens if I assign the wrong educator to a class?

You can edit the educator assignment at any time by selecting the class, clicking Edit, and changing the educator. Save your changes when complete. Changes take effect immediately.

Can I set up register classes before the year-end is processed?

Yes. In fact, it is recommended to complete the register class setup during the academic year before the administrative year-end process. Once year-end is complete, changes become more complex.

What is the difference between a classroom number and a register class reference?

Classroom number: A physical or virtual space identifier in your system. Register class reference: A label you assign for administrative tracking (e.g., "Grade 10A"). They work together to organise classes.

Do I need to set up register classes for every class in my school?

Only classes that will use the register attendance feature need to be set up here. Check with your school administration to determine which classes require registration setup.
