Creating and Managing Allocations

This article explains what allocations are in Altivo, how to create and manage them, how pro-rata value suggestions work, how unit conflict detection operates, and what the allocation statuses and expiry tracking mean.

What is an allocation?

An allocation assigns a specific asset to a specific sponsor for a defined time period. Every allocation answers four questions: (1) Which sponsor? (2) Which asset? (3) When? (4) How much?

How do I create a new allocation?

  1. Click Add Allocation

  2. Select Sponsor, Asset, and optionally a Sponsorship

  3. Enter Start date, End date, and Units allocated

  4. The Agreed value is auto-suggested based on pro-rata calculation for priced assets

  5. Set Status and click Save

How does the pro-rata value suggestion work?

For priced assets, Altivo calculates a suggested value based on price, duration type, dates, and units. The value field is locked by default - click the pencil icon to override with a different agreed value. A note shows the original suggestion so you always know when a discount was applied. Unpriced assets have no suggestion and require manual entry.

What is unit conflict detection?

Altivo prevents over-allocation. If you attempt to allocate more units than are available for the selected dates, you will see a conflict error. To resolve it: reduce the number of units, change the dates to avoid overlap, or free up units by cancelling or completing an existing allocation.

What do the allocation statuses mean?

Frequently asked questions

I am getting a conflict error when creating an allocation. How do I fix it?

Check how many units of the asset are available for your selected dates. Other sponsors may have overlapping allocations. Either reduce your unit count, adjust the dates, or cancel/complete an existing allocation on that asset.

The suggested value is blank. Why?

The asset is unpriced (no price set). Enter the agreed value manually. See the asset record to confirm whether a price needs to be set.

The value did not update after I changed the dates. Why?

If you previously overrode the suggested value using the pencil unlock button, the system keeps your custom value on date changes. Click the pencil icon again and reset the value to recalculate.

What happens when I delete an allocation?

The allocation is soft-deleted: hidden from views but data is preserved. The units are returned to the asset's available pool, and the value is removed from the sponsor's total allocated figure.
