This article explains what a sponsorship is in Altivo, how to create and manage sponsorship records, how contribution types work, and how Section 18A references and unallocated value are calculated. It is intended for school administrators managing sponsor contributions.
Sponsorships
A sponsorship records a contribution from a sponsor. It answers: what did the sponsor give us? A sponsorship is not the same as an allocation. The sponsorship records the contribution; the allocation records what the school gave back. Think of it this way: Sponsorship = deposit into the school's sponsorship account. Allocation = withdrawal to pay for specific asset placements.
Click Add Sponsorship
Select the Sponsor (must already exist in the Sponsors list)
Add Contributions: select Type (Cash, Goods, or Services), enter Value and Description
Enter dates: Date received, Start date, End date
Select Purpose: Sports, Arts and Culture, Academic, Infrastructure, General, Bursary, or Event
Click Save
A single sponsorship can include different contribution types. Example: R50,000 cash + 200 branded water bottles (R10,000 goods) = R60,000 total.
Altivo auto-generates a sequential number in the format SCHOOLSLUG-YYYY-NNNN (e.g. GREENSIDE-2026-0001). These reset per school per year and are immutable once created.
Automatically generated when both conditions are met: (1) the sponsorship includes a Cash contribution, and (2) the school has a PBO number set in School Profile. Format: 18A-{PBO}-{tax year}-{sequence}. The SA tax year runs March to February. Only cash qualifies - goods and services do not.
After recording a sponsorship, the full value is unallocated. As allocations are created and linked, the unallocated value decreases. Example:
Sponsorship: R50,000 (unallocated: R50,000)
Allocation 1: R20,000 - unallocated becomes R30,000
Allocation 2: R15,000 - unallocated becomes R15,000
The sponsor must exist before you can record a sponsorship. Create the sponsor first on the Sponsors page, then come back to record the sponsorship.
The total is the sum of all contributions. Verify that the values entered for each contribution are in Rands (not cents) and that you have not accidentally added a duplicate contribution.
Check two things: (1) your PBO number is set in School Profile, and (2) the sponsorship includes at least one contribution with type set to Cash. Goods and Services contributions never generate a Section 18A reference.
Yes. Click on the sponsorship, then click Edit. You can update contributions, dates, purpose, and other fields. Sponsorship numbers and Section 18A references, once generated, are immutable.
