d6 AI Assist — user guide for schools

d6 AI Assist is a built-in AI helper inside d6 School that gives administrators, principals, deputy principals and HODs quick answers from their school data. This guide covers what AI Assist does, who can activate it, how to get started, and what to expect during the trial period.

What is d6 AI Assist?

d6 AI Assist is a chat-based AI helper that lets school staff ask plain-language questions about their school's data and get instant answers. It is designed to save time on routine admin and reporting tasks by surfacing the information you need without having to navigate through multiple screens or run manual reports.

AI Assist is currently available to schools as a free trial so that you can test the tool, see the value for your school, and decide whether you would like to continue using it.

Who at the school can use AI Assist?

AI Assist is available to the following roles in d6 School: Principal, Deputy Principal, HOD (Head of Department), Administration staff (administrator, finance, etc.), and super users.

Only a Principal, Deputy Principal or super user can activate AI Assist for the school. Once activated, all users in the roles above can access it on their own login.

How do I access AI Assist?

There are two ways to find AI Assist inside d6 School:

  1. Pop-up announcement: when you log in, an in-app announcement appears with a short intro video and an Activate button.

  2. Menu button: the d6 AI Assist button is permanently available in the left-hand menu under My School.

Both routes lead to the same activation flow.

How do I activate AI Assist for my school?

Activation is a two-step process. The first step is done once per school by a Principal, Deputy Principal or super user. The second step is done once per user on their first visit.

Step 1: A Principal, Deputy Principal or super user activates the school

  1. Click the d6 AI Assist button in the menu (or the Activate button on the announcement pop-up).

  2. The Service Module Agreement screen appears. Read the agreement, then tick the acceptance box at the bottom.

  3. A confirmation screen appears: "This feature has been activated. Click here to go to AI Assist."

  4. AI Assist opens in a new tab with a quick guided tour.

The school is now activated. Only one Principal, Deputy Principal or super user needs to do this — every other user at the school can then accept their own per-user terms and start using AI Assist.

Step 2: Each user accepts the per-user terms on their first visit

  1. Click the d6 AI Assist button.

  2. On your first visit, the Terms of Use screen appears. Tick the acceptance box.

  3. You are taken straight into AI Assist and can start asking questions.

This is a once-off step per user — you will not see the terms again on future visits.

How does the trial period work?

Each school that activates AI Assist receives a free trial allocation. During the trial, you have full access to AI Assist and can use it as much as you like, up to your trial limit.

When the trial ends, AI Assist will display a message inside the chat to let you know your trial is complete, and a member of the d6 sales team will be in touch to discuss continued access. You will not be able to send new questions until your school is signed up for a paid plan, but your historical conversations will remain visible.

What AI Assist does and does not do

  • What it does: answers questions about your school data in plain language, surfaces insights, and helps with reporting and admin queries.

  • What it does not do: AI Assist does not take any action on your behalf. It will not send messages, change records, or contact parents. It only provides information for you to act on.

  • Privacy: AI Assist processes your school data to answer your questions. By accepting the Service Module Agreement, your school formally consents to this processing. Access is restricted to the roles listed above.

Frequently asked questions

Why am I seeing a Please contact your system administrator to activate this feature message?

This means your school has not yet activated AI Assist. Only a Principal, Deputy Principal or super user can do this. Ask one of them to log in to d6 School, click the d6 AI Assist button, and accept the Service Module Agreement on behalf of the school.

Why am I getting an error that says I am not linked to the school?

This usually means you are logging in with an email address that is not linked to your staff profile in d6. Your AI Assist access is linked to the email on your staff profile. Try signing in with the same email loaded against your profile in d6 School. If unsure which email is linked, ask your school administrator to check your staff profile.

Does every user have to accept the Service Module Agreement?

No. The Service Module Agreement is accepted once per school by a Principal, Deputy Principal or super user. After that, each user only accepts the per-user Terms of Use on their first visit, which is a quick once-off step.

What happens when our trial ends?

You will see a message inside AI Assist letting you know the trial is complete, and a d6 sales consultant will reach out to discuss continued access. Until your school signs up for a paid plan, you will not be able to send new questions, but your previous conversations remain visible.

Can teachers and learners use AI Assist?

No, not on this version. AI Assist is currently restricted to administration roles: Principal, Deputy Principal, HOD, administration staff and super users. It is designed for school management and admin tasks rather than classroom use.

Will AI Assist send emails or make changes for me?

No. AI Assist only provides information and insights. It does not take any action — it will not send messages, update records, or contact parents on your behalf. You decide what to do with the information it gives you.

How do I get help if I am stuck?

If you are unable to access AI Assist or have questions this guide does not answer, please log a support ticket with the d6 support team and we will assist.
