How to set up Document Types

Documents and images for staff members, parents and/or learners can be stored in d6+. Use this to upload copies of IDs, birth certificates, proof of residence, immunisation cards, previous school reports, and more.

My School > General > Documents > Document Types

  • Any number of document types can be created according to your school's needs.

  • Note: Only one document can be uploaded per type per person. For multiple similar documents, create numbered types, e.g. Therapist Report 1, Therapist Report 2. Duplicate names are not allowed.

How do I create a document type?

  1. Select the Staff, Learner or Parent tab.

  2. Click Add to display a new line.

  3. Document Type Afr/Eng: Enter the document type name in both Afrikaans and English.

  4. Status: Set to Active or Inactive. Inactive types are retained but not shown for learners, parents or staff.

  5. Required: Mark as required if applicable. A system task will appear for each required document type, listing who is missing that document.

  6. Click Accept Changes to save, or Reject Changes to discard.

  • The document list can be exported to Excel by users with Excel export rights.

What user rights control document access?

  • Document Types: Controlled by 1.1. School Administration.

  • Staff Documents: Controlled by 1.2. Personnel Administration.

  • Learner & Parent Documents: Controlled by 1.3. Learner / Parent Administration.

  • View documents on Learner Overview: Controlled by the Learner Overview rights.

Frequently asked questions

Can I upload multiple documents of the same type for one person?

Not directly. Only one document can be stored per type per person. To store several similar documents, create numbered document types — for example, Medical Certificate 1, Medical Certificate 2.
