A quick-reference guide for educators on how to capture, verify and export learner marks using the d6 platform.
My School > People: Learners > Learner Marks > Marks per Group
Your admin needs to give you marks capture rights at My School > System > Curriculum > Curriculum Setup > Marks Capture Rights. If you are set up as a Subject Group Teacher (blue) or Subject Head (pink), the system assigns rights automatically. Otherwise your admin adds you manually. If you cannot see the marks screen, ask your school's superuser (The person logging in with the username: Superuser) to check you have View and Edit rights for module 2.2 Learner Marks.
Select the Year and Term.
Choose your Grade and Subject.
Pick the entry level: Red = subject, Orange = task, Green = assessment.
Click Capture marks and choose your Subject Group.
Type each mark and press Tab or Enter. A green block means it is saved.
When you see a total in brackets like (137), you are done.
= button: Recalculates (rarely needed, d6 auto-saves).
a button: Fills in absent for all learners without marks.
x button: Deletes ALL marks for the group. Use with extreme care.
Need more than one mark per assessment? Click the green + button to add Mark 2, Mark 3, etc. d6 automatically averages them. To edit an existing mark, just click it, type the new value and press Tab.
Use the Mark Statements at Reports > Learners > Marks and Achievements > Mark Sheet:
Captured Marks Verification Sheet: Spots missing data.
Calculated Mark Sheet: Show Assessments, With Empty, Mark out of, Raw or Weighted marks. Can choose if you want to see it per Subject Group, Verifies final percentages.
Detailed Mark Sheet: Per-learner breakdown. Best for parent queries. Also best to see how the end mark for the subject was calculated.
Subjects Mark Sheet: Consolidated final marks per learner.
Working Mark Sheet: Exports to Excel for Department submissions.
Navigate to My School > People: Learners > Learner Marks: Export Marks and Statistics. Choose the Academic Year, Phase and learner type, then click Export. The Excel file downloads automatically.
Go to Reports > Learners > Marks and Achievements > Report Cards.
Choose your Report Template, Year, Term and Curriculum.
Select the Language and who to print for.
Click Generate Reports to get a PDF.
For year-end reports, always choose Promotion Mark instead of Term 4 results. To email reports to parents, click Email Reports at the bottom (requires the email release right).
Use the Marks History at My School > Curriculum > Curriculum Setup > Marks Log. Filter by year, grade, subject, assessment and date range. Click Fetch Details to see each Insert, Update and Remove with timestamps and staff names. Full version history is available for entries after 27 October 2023.
A green block appears next to each mark as you enter it, and the total in brackets (e.g. (137)) is visible alongside the subject.
You likely do not have marks capture rights. Ask your school's superuser (The person logging in with the username: Superuser) to check you have View and Edit rights for module 2.2 Learner Marks and that you are assigned to the correct subject group.
Differences are typically due to weight configurations. Use the Detailed Mark Sheet to audit the calculation.
No. Marks for locked Terms cannot be modified. You can still view and report on them for historical accuracy. If you need to unlock it, you can do this under My School > System: Curricululum > Curriculum Setup: Learning Programmes > Change the Yes under Marks locked column to No. Remember to change this back once you made changes.
Term results do not apply the statutory weights required for promotion. Promotion Mark uses the correct formulae for the final year-end result, including all term assessments, and not just one term.
