How to capture marks per group

The Marks per Group function allows educators to capture marks for an entire grade across specific subject classes, ensuring accuracy and regulatory compliance.

How do I capture marks per group?

  1. Initial selection: Select the relevant Year, Term, Grade and Subject.

  2. Choose your level: Select the level for mark entry: Subject marks, Task/LO marks or Assessment marks.
    For SA-SAMS users: if your school exports data to the DOE, enter marks at the green (Assessment) level, or at minimum the orange (Task) level to meet promotion formula requirements.
    The total number of learners appears in brackets on the button (e.g. (137)) confirming successful saves.

  3. Select subject group: Choose the specific group. If learners are missing, check the Unallocated tab for names not yet linked via Subject Group Allocation.

  4. Rename mark tab: Navigate to the Mark 1 tab and update the Column name (e.g. “Reading – Test”).

  5. Data entry: Enter the learner mark. Use Tab or Enter to move to the next learner — marks save automatically. A green “saved” banner confirms.

  6. Edit a mark: Click the specific field to edit. A green “updated and saved” banner confirms.

  7. Multiple worksheets: Click the + icon to add worksheets (e.g. “Mark 2”). d6 automatically calculates the final assessment mark as an average across all worksheets.

Bulk processing tools

  • “a” button: Bulk captures “absent” marks for all learners without an existing mark (available on all mark levels).

  • “=” button: Manually recalculates marks (d6 usually automates this).

  • “x” button: Use with extreme caution — permanently deletes ALL marks for the selected subject group.

Frequently asked questions

Why am I seeing a “subject type weights” message?

Weights are missing from your setup. Click OK and navigate to My School > System:  Curriculum > Curriculum Setup: Setup Learning Program > Step 2: Setup Subjects. Add the missing weights and click Accept Changes.

Why am I seeing a “no learners set up for this subject” message?

Learners haven’t been linked to the subject yet. Click OK and navigate to My School > System:  Curriculum > Learner Subjects: Subject Choices Per Subject. Move the relevant learners to the right-hand column and click Save.

How do I capture marks for a learner who joined mid-year?

The system requires a full academic record for the year. Link the learner to all relevant subjects for all four terms (even those before they enrolled). Enter the marks from their previous school’s report at the task (orange) level for those earlier terms. For example, if the previous school’s report shows Afrikaans = 70% and Term 1 had two tasks (Reading and Writing; Speaking and Comprehension), enter 70% for both tasks. This allows the system to calculate the correct yearly average.
