How to export to the SA-SAMS database

The Export to SA-SAMS Database function is the only way for your school to comply with Department of Education (DBE) regulations on data submission. In order to generate a valid export, certain learner, parent and personnel information must be included. Although disclosing this personal information raises POPIA concerns, it is required by the Department of Basic Education. d6+ no longer offers the option to hide contact information in the export, following discussions with provincial DBE EMIS staff.

How do I export the SA-SAMS database?

  1. Click on Export to new SA-SAMS database.

  2. Select the term for the export.

  3. Promotion Formula Type:  Choose the promotion formula type, normally we use Promotion Mark.

  4. Under SA-SAMS Export database template, choose between Standard SA-SAMS Database, or Include extra reporting features.

  5. Choose the number of years of data to export, this includes the current year.

  6. Choose a Reporting language, the Department prefers submissions, SA-SAMS report cards and NSC registration forms in English (by default). This allows flexibility for schools to use it for their own internal purposes (Afrikaans or Preferred Language as per learner profile setup on d6).

  7. Select the first option if all learners (including Pre-Primary/Pre-R) must be exported. d6+ recommends all schools, including SNE schools, select this option.

  8. Select the second option if you have set up the CAPS curriculum in d6+.

  9. Select the third option to recalculate promotion results before the export — typically used for end-of-term submissions.

  10. To select the database:

    • Choose the first option if you have no existing SA-SAMS database, or if an empty database is required for the 10th-day submission.

    • Choose the second option if you have previously uploaded your school’s existing SA-SAMS database (which contains additional information not currently in d6+).

  11. Once complete, the file will download to your Downloads folder. Unzip it and open it in SA-SAMS.

How do I deploy the Principal Report Database?

In SA-SAMS, go to the Lurits Status Stats tab (once all errors are corrected) and click Deploy Database. This will only succeed if all buttons on all tabs are ticked and Approved. Sign and stamp the automatically printed Principal Deployment Report and verify the totals. Click Main Menu, then Exit.

If you need to re-deploy: delete the folders previously created in C:\ExportData\LuritsData, re-approve all tabs (changing status 3 = Deployed back to 2 = Approved), then deploy again and reprint the report on the same day.

Frequently asked questions

What if my additional information is missing after a SA-SAMS patch?

If you export using an uploaded database and find that additional information added before a new patch is missing, download the original database from the link on the Export screen, open it in SA-SAMS to patch it, and then re-upload it before exporting again.

Why doesn't d6+ allow hiding contact information anymore?

Following discussions with provincial DBE EMIS staff, d6+ aligned with the DBE's legal entitlement to request this information. The option to hide contact details was removed to ensure schools remain compliant with the DBE's data submission requirements.

When should I use an uploaded SA-SAMS database instead of an empty one?

Use the uploaded database option only if your school has additional data captured in SA-SAMS (such as Infrastructure Register, LTSM, IQMS, or SIAS data) that needs to be preserved in the export. For all other submissions, an empty (new) database is sufficient.
