A Letter of Demand costs R29.00 per letter sent.

How much does a SMS cost?

On the Starter Package of Fease, a SMS costs R0.60 per SMS sent.
On the Standard & Prestige Package of Fease, a SMS costs R0.40 per SMS sent.


How do I add a new follow-up action to my workflow to follow-up on specific categories (for example: Aftercare fees, Registration fees, Study Centre fees)?

To add a new follow-up action for a specific category, go to:

1. Configuration.
2. Select Workflows and click on Standard.
3. Click on the Add button on the top left handside.
4. Name the follow-up action in the Description field.
5. Select the Age Bracket you would like to use.
6. Enter the Days Outstanding amount.
7. By Categories, select the category that the follow-up action should follow-up on.
8. Activate the Automatic? Toggle for the action to get sent out automatically once Automation is set to enabled.
9. Select the Action Type (Send email, SMS etc.).
10. Insert the email/sms templates.
11. Click on Save & Close or Save & New to setup an additional follow-up action.

How do I create a new email or sms template?

To create a new email or sms template, go to:

1. Configuration
2. Select Email or SMS Templates at the bottom.
3. Select an Email/SMS template and click on Duplicate.
4. Edit the template to your desired outcome/message.
5. Click on Save.

This will allow you to create a new Email or SMS without having to set it up from scratch.

How do I view all the history of communication previously sent out?


To view communication that has been previously sent out, navigate to
Reports and select Actions. Use the filters on the left to view only certain follow-up reminders that were sent.

Can I download the Letter of Demand and Section 41 Registered Letter of Demand once it has been sent?

Yes, you can download these documents as a PDF at any time.

Please note that when the document is downloaded, it will reflect today’s date and the current outstanding balance on the account, rather than the date and balances that appeared when the communication was originally sent.


For record-keeping purposes, it is therefore recommended that you download the Letter of Demand or Section 41 Registered Letter of Demand on the same day the communication is sent, so that the document reflects the date and balances at that time.


This functionality is currently under review and may be improved in future updates to Fease.


Where do I find an Account Report?

To find the
Account Report, navigate to:

1. Debtors and click on accounts.
2. Select the specific debtor by clicking on their name.
3. Click on Download.
4. Select Account Report to download it to PDF.


How do I remove a user?

Currently, there is no option to delete an existing user on Fease. To remove the user, the existing user will need to be Archived.

This can be done by following these steps:

1. Navigate to Configuration.
2. Click on System Users.
3. Click on the block next to the users name on the left.
4. Proceed to click on Actions in the top middle of the page.
5. Select Archive

This will cause the user to be Archived and allow for another user to be added.



How do I preview a statement?

To preview a statement, navigate to:

1. Debtors and click on Accounts.
2. Select the specific debtor by clicking on their name.
3. Click on
Preview Statement.


How do I change my School Details on Fease?

This change cannot be made on Fease directly but will instead have to be completed on d6.

1. Log into d6
2. Select My School
3. Select General
4. Select School Setup
5. Change the information needed
6. Click on Save

Once this is completed, log back into Fease and click on the Sync Now button for the latest information to be synchronized to the Fease system.


How do I mark a Promise to Pay as Completed on Fease?


This function cannot be done on Fease and will have to be completed on d6. To do this:

1. Log into d6
2. Select Finance
3. Under the Debtors section, click on Capture Debtor Notes & Arrangements
4. By Select Notes, choose Promise to Pay
5. Click on the Edit button on the specific account and Continue
6. Indicate underneath Adhered to? if the promise to pay has been Completed, Partially Completed or Not Completed
7. Click on Continue and Save.

Once done, navigate to Fease and click on the Sync Now button for the information to be updated.
