This article explains what the Fease AI Insights Agent is, how it differs from the Fease Support Agent, and how your school's financial data is kept private and POPIA compliant within the d6 environment.

Please note: The Fease AI Insights Agent is not yet fully live and available to all schools. If your school is interested in testing or piloting this feature, please reach out to your Fease customer success representative to register your interest.

What is the Fease AI Insights Agent?

The Fease AI Insights Agent is a specialised artificial intelligence tool designed to provide school administrators with detailed, real-time analysis of their financial data. Unlike a standard support bot, the Insights Agent acts as a dedicated data analyst that can answer complex questions regarding collections, outstanding fees, and financial trends.

How does the Insights Agent differ from the Support Agent?

There are two distinct AI assistants within the Fease ecosystem:

  • Support Agent: Assists with generic "how-to" questions and system navigation (e.g., "How do I reset my password?").

  • Insights Agent: Specifically accesses your school's financial database to provide data-driven answers (e.g., "What is the total outstanding balance for Grade 10?").

Is there a usage limit?

Yes. Each school is allocated a $10 usage limit for the Insights Agent. Once this limit is reached, the Insights Agent will no longer be able to accept further questions.

Is my school's financial data secure and POPIA compliant?

Yes. The Fease AI Insights Agent is built with a strict focus on data privacy and security:

  • Private database connection: The AI is linked exclusively to your school's specific database. It does not pull information from or share information with other schools.

  • No OpenAI data training: Your school's financial data is not sent to OpenAI or used to train any public AI models.

  • Data silos: Each school's data remains in a silo, ensuring that no other school can access or view your financial records through their own AI agents.

  • POPIA compliance: By keeping the data within the secure d6/Fease environment, the system remains fully compliant with the Protection of Personal Information Act (POPIA).

What kind of financial information can the Insights Agent provide?

The Insights Agent can process natural language queries to provide instant summaries, including:

  • Collection rates: "What percentage of school fees were collected by the 7th of this month?"

  • Grade summaries: "Provide a total of outstanding levies for the Grade 12 matric dance."

  • Debtor analysis: "Identify the top 10 accounts with the highest overdue balances."

  • Payment trends: "Compare our current monthly collections to the same period last year."

What are some examples of questions I can ask?

Here are some example prompts you can type directly to the Insights Agent:

  • "How many accounts are more than 90 days in arrears?"

  • "What is our total outstanding debt per category?"

  • "How many parents have missed 3 or more payments?"

  • "Which accounts have promised to pay this month, and for what amount?"

Can other schools see my financial data through the AI?

No. There is zero cross-pollination of data. The Insights Agent for one school has no visibility or access to the database of any other school. Each instance of the AI is strictly contained within your school's individual, secure data environment.

Frequently asked questions

What is the difference between the Fease Support Agent and the Insights Agent?

The Support Agent answers general how-to and navigation questions about the Fease platform. The Insights Agent connects directly to your school's financial database to answer data-specific questions such as outstanding balances, collection rates, and payment trends.

How do we get access to the Fease AI Insights Agent?

The Insights Agent is currently in a pilot phase and not yet available to all schools. To register your school's interest, please contact your Fease customer success representative directly.

What happens when our school reaches the $10 usage limit?

Once the $10 limit is reached, the Insights Agent will stop accepting new questions. Please contact your Fease customer success representative to discuss your options.

Can the AI access another school's financial data?

No. Each school has its own isolated AI instance connected only to its own database. There is no cross-school data access of any kind.

Is the Fease AI Insights Agent POPIA compliant?

Yes. By keeping all data within the d6/Fease environment and ensuring no sharing between schools or external AI providers, the system is designed to be fully compliant with the Protection of Personal Information Act (POPIA).

Is our school's data used to train OpenAI or other AI models?

No. Your school's financial data is not shared with OpenAI or used to train any external AI models. The data remains entirely within the secure d6/Fease environment.
