Create and manage debtor credit notes

Create and manage credit notes on other debtor accounts. Captured credit notes can be saved or saved as a draft to be completed later. Search for existing credit notes by invoice number, debtor account number, or amount.

How to create a credit note

  1. Click the Add button.

  2. Select the other debtor for which you would like to create a credit note.

  3. Click Continue.

  4. Select the date for the credit note.

  5. The credit note number will automatically be allocated by the system.

  6. Indicate whether the credit note amount should be deducted from the debit order amount (if applicable and debit orders have not yet been submitted).

  7. Enter the credit note total amount.

  8. Enter a description for the credit note.

  9. Enter an item name or select an existing item from the dropdown.

  10. Enter the quantity and unit price of the item.

  11. Select the account or project to allocate this credit note line.

  12. Click Add line to add additional items, or select lines and click Delete line to remove them.

  13. Ensure the credit note total amount matches the sum of item line totals. The balance not allocated must be 0.00.

  14. Click Save finalize, or Save as draft to complete later.

How to edit a credit note

  1. Select the credit note by clicking the radio button next to it.

  2. Click the Edit button.

  3. Edit the applicable fields and click Save to finalize, or Save as draft to complete later.

How to copy a credit note

  1. Select the credit note by clicking the radio button next to it.

  2. Click the Copy button.

  3. The system will create a copy of the credit note as a draft that can be edited.

How to delete a credit note

  1. Select the credit note by clicking the radio button next to it.

  2. Click the Delete button.

Frequently asked questions

Can I search for a specific credit note?

Yes. Type in any relevant data such as invoice number, debtor account number, or amount in the search block. All credit notes matching the criteria will be displayed.

What happens if the balance is not zero?

The credit note cannot be saved until the balance not allocated is 0.00. Adjust your item lines or total amount to match.
