How to generate and customise Re-registration Forms

The Re-registration Form function generates a pre-populated form with the learner's current information. Some sections can be customised according to the school's preferences.

How do I configure the form options?

General options:

  1. Select the Report title.

  2. Select whether to generate forms for Register Classes, Learners (current) or Learners (left).

  3. Select the paper size.

  4. Select whether an undertaking by a biological parent should be printed.

  5. Select whether the Provincial logo should be printed.

Account holder / Debit order:

  1. Select whether the Account holder / Debit order section should be printed.

  2. Select the period for debit order payments.

  3. Select whether an option for outstanding fees authorisation should be printed on the form.

Contract with school:

  1. Select whether the contract with the school should be printed.

  2. Select whether school fees are paid over 10, 11 or 12 months.

  3. Select whether an option for own payment arrangements should be printed.

Learner information: Click on the register class or learner and move to the right using the arrows.

How do I distribute the forms?

  • Preview / Print: Click Preview to generate the PDF and distribute as a hard copy.

  • Email: Forms are emailed to parents who have indicated they wish to receive communication from the school (set up separately for Parent 1 and 2 on the learner profile). The email is sent in each parent's preferred communication language. Use Edit email template to customise the accompanying message.

  • Tip: To test the email format, temporarily replace one of the parent's email addresses with your own and send a form to yourself.

How do I edit the contract sections?

The following sections can be edited: Contract, Indemnity/Consent, Indemnity, Parent undertaking and Debit order authorisation.

Use the available columns to edit a section: Indentation level, Paragraph number, Option choice, Option letter, Content Eng, Content Afr, Next page, Heading, Sort and Status (Active / Inactive / Delete). Deleted rows cannot be recovered.

Click Add on the relevant tab to add additional rows.

Frequently asked questions

Why did some parents not receive the email?

Email is only sent if the parent has an email address in d6+ and has opted to receive communication from the school. This setting is configured separately for Parent 1 and Parent 2 on the learner profile.
