How to generate hostel lists

The Hostel Lists function generates a list of all learner names in a hostel on a single document. Various layout and content options can be selected when the list is generated.

Reports >  Learners > Learner Reports > Hostel Lists

  • This function is only visible for schools that have enabled hostels at My School > System  >  General > School Setup > Does your school have hostels: Yes.

  • Hostel details are configured at My School > System  >  General > Databases:  Hostels.

What options are available when generating a hostel list?

  1. Hostel lists with: Select the year for which the lists should be printed.

  2. Teacher name: Select the format of the teacher name on the list.

  3. Show for gender: Select Boys, Girls, or All learners.

  4. Print hostel lists: Choose Portrait or Landscape orientation.

  5. Print column header height: Select the required column header height.

  6. Row height: If names run over onto a second page, decrease the row height to compress the list.

  7. Print blank lines: Indicate whether blank lines should be printed below each learner name.

  8. Print number of blank lines: Specify how many blank lines to print below each learner name.

  9. Print blank lines separated: Indicate whether the blank lines should be visible (ruled) or not.

  10. Print gender totals: Indicate whether the learner numbers summary table in the top right should print.

  11. Print empty columns: Indicate whether additional empty columns should be added.

  12. Learner information: Indicate the format and printing order of learner names.

  13. Print additional information: Select additional learner information fields to be printed on the list.

  14. Print own column headers: Add custom headings for additional columns, or select from the existing list. Existing headings can also be removed.

  15. Rotate own column headers: Rotate headers to reduce column width.

  16. Hostel information: Select the hostel(s) to be printed.

Frequently asked questions

Why can't I see the Hostel Lists button?

The function is only visible if the school has enabled hostels. Go to My School > General > General:  School Setup and set Does your school have hostels to Yes.

The list runs onto a second page. How do I fix this?

Decrease the Row height setting to compress the list onto a single page. You can also switch to Landscape orientation for more horizontal space.

Can I print lists for boys and girls separately?

Yes. Use the Show for gender option to filter by Boys, Girls, or All learners before generating the list.

Where do I set up hostel names and rooms?

Hostel details are configured at My School > General > Databases:  Hostels. Learners are then linked to a hostel via their learner profile.
