Hostels

Hostels allow schools to control and administer boarding facility setup for learners. This function is only available for schools that have selected that they have hostels at My School > General > School setup. You can add new hostels and assign learners to them.

Set up new hostels and manage learner assignments via the Hostels function in My School.

How do I add a new hostel?

Click Add to enter a new hostel. You will need to complete two tabs: the details tab for hostel information and the learner tab for assignment purposes.

  1. Click Add to set up a new hostel.

  2. Complete the Details tab with hostel information.

  3. Complete the Learner tab to assign learners.

  4. Click Save to preserve all your changes.

What information do I provide on the details tab?

The details tab requires basic hostel information needed for administrative and emergency purposes.

  • Name: The official name of the hostel.

  • Gender: Indicate which gender of learners is accommodated (Boys, Girls or Mixed).

  • Type: Select whether it is the school's own hostel or another school's hostel.

  • Telephone: The hostel's contact number for emergencies and enquiries.

  • Address: The physical address where the hostel is located.

  • Contact person: Select the staff member responsible for the hostel.

How do I assign learners to hostels?

On the learner tab you can select learners from specific grades and classes and assign them to the hostel. Learners already placed in other hostels are immediately highlighted so you can see where they are currently accommodated.

  1. Select the Grade and Class of the learners you want to assign.

  2. Select the learners on the left side who should be in the hostel.

  3. Move them to the right to complete the assignment process.

  4. Note that learners already in other hostels will be indicated in light red with the hostel name in brackets.

  5. Click Save to confirm the assignments.

Frequently asked questions

What does the light-red colour for a learner mean?

Light red indicates that the learner is already placed in another hostel. The name of the current hostel is shown in brackets so you can see where the learner is currently accommodated before moving them to a new hostel.

Can I move a learner from one hostel to another?

Yes, you can move learners between hostels by selecting them from the left-hand list and moving them to the right. The light-red indicator will inform you that the learner is already placed elsewhere.

What if I selected the wrong contact person?

You can edit the hostel details at any time by returning to the details tab, updating the contact person field and saving again.
