Summary: Schools can now add a personalised digital signature to all emails and letters sent through Fease. This includes the principal's or finance officer's signature, making communications feel more personal and official.
Fease > Configuration > School Details
What is a Personalised School Signature?
A personalised signature is:
- Digital image: Your signature (or principal's) as a digital file
- Auto-added: Automatically applied to all Fease emails and letters
- Professional: Makes communications feel signed by a real person, not a robot
- Customizable: Different signatures for different communication types if needed
Benefit: Increases perceived authority and personal touch, potentially improving payment response rates.
How to Add Your School Signature
- Navigate to Configuration > Settings.
- Scroll to the Communication subheading.
- In the Email & Document signature fields, paste in your signature image.
- Click on Save in the top left hand corner to confirm your changes.
Recommended settings:
- Resolution: 300 DPI (clear, professional)
- Size: Keep under 2MB
- Width: 150-200 pixels (fits nicely in email footer)
- Format: PNG (transparent background looks best)
- The signature will appear on all new Fease communications going forward.
Creating Your Signature Image
Option 1: Scan a hand-signed signature
- Print a blank piece of paper
- Sign it with a pen
- Scan at 300 DPI
- Save as PNG or JPG
- Crop to just the signature (no extra paper)
Option 2: Use digital signature software
- Adobe Sign, DocuSign, or Signaturely allow digital signature creation
- Generate your signature and export as PNG
Option 3: Use online signature generator
- Free tools like Signature.com or Canva Signature
- Type your name in a script font, download as image

|---|
| Email | At the bottom, below the message body |

Best Practices
- Use the principal's signature: For formal/legal communications, this adds authority.
- Use the finance officer's signature: For day-to-day reminders, this feels personal.
- Keep it professional: Avoid cartoon or decorative signatures.
- Test in email: Before going live, send a test email to see how the signature renders.
- Update if personnel changes: If the finance officer leaves, upload their replacement's signature.
Troubleshooting
Q: The signature isn't appearing in emails
A: Check: (1) Did you save after uploading? (2) Is the image file format correct (JPG, PNG)? (3) Try clearing your browser cache. (4) Email rendering can be finicky; check in multiple email clients.
Q: The signature is too large/small
A: Resize your image file. Recommended width is 150-200 pixels. Upload a new version and save.
Q: Can I have different signatures for different templates?
A: No, if the signature is edited and saved it will apply to all future communication sent.
