This article explains how to export Grade 12 working mark sheets from d6 for the Department of Basic Education (DBE) mark verification process. It is for school administrators and curriculum staff who prepare year-end Grade 12 results. You will learn what to check before exporting, how to run the export, and how to resolve the most common error that blocks it.
My School > Compliance > Export to SA-SAMS Database
The DBE's Grade 12 mark verification does not use a Term 4 export from d6. It uses the Final District/EMIS export, which applies your d6 promotion formulas and includes the calculated promotion results, not only the Term 4 marks. Your formulas and decision settings must therefore be correct before you export.
Subject formulas: Confirm that subject formulas exist and are up to date at My School > Curriculum > Year-end Formulas, on the second tab (Subject-Specific Formulas).
Automatic decisions: Confirm that Promotion, and Endorsements for FET (Further Education and Training) Grades 10 to 12, are set to calculate automatically at My School > Curriculum > Decision Guidelines.
Calculation settings: Subjects set to "No calculation", or with unlinked Endorsements, will not produce results or final decisions as expected.
Navigate to My School > Compliance > Export to SA-SAMS Database and click the green + option.
Select the Final District/EMIS (Current grades) option and leave the default Promotion formula type unchanged.
Click Continue.
A missing green Continue button usually means some learners do not have final decisions yet. Work through these steps to resolve it:
Read the red error message at the top of the screen and click the relevant link, for example "No Final Decisions" for the affected grade or grades.
Select the correct grade and keep the decision type on Promotion (the default).
Recalculate the decisions.
Hover over the circled i icons to see why a decision is missing.
Click the calculated decision column heading twice to sort blanks to the top, and check that every learner now has a decision.
As a last resort, moderate the affected learners individually per grade.
Return to the exporter and check that the error has cleared.
No. The DBE's Grade 12 verification uses the Final District/EMIS (Current grades) export, which includes calculated promotion results. A Term 4 export only contains Term 4 marks and is not suitable.
The button is hidden when the export cannot run, most often because some learners have no final decision. Read the red error message at the top of the screen, follow its link, recalculate the decisions for the affected grade and return to the exporter.
Decisions are usually missing because a subject has no formula, is set to "No calculation", or has unlinked Endorsements. Hover over the circled i icon next to the learner to see the exact reason, fix the setting and recalculate.
Go to My School > Curriculum > Decision Guidelines. For FET Grades 10 to 12, check that Endorsements are also set to calculate automatically.
No. Leave the formula type on Promotion, which is the default. The export needs the promotion results for DBE verification.
