How do I keep my uploaded SA-SAMS database patched?

This guide explains why schools should keep their uploaded SA-SAMS database patched to the latest version, and how to download, patch, remove and upload the database in d6+. It is intended for school administrators and system administrators.

My School > d6 Initiatives > Compliance > Export to SA-SAMS Database

Why should I keep the uploaded database patched?

  • Statistical information: The uploaded SA-SAMS database allows schools to retain statistical information required for SA-SAMS reporting, commonly including the Infrastructure Register, LTSM (Learner Teacher Support Material/Textbook Management) and Assets.

  • Data accuracy: Keeping the database current ensures reliable exports and accurate data within SA-SAMS.

An outdated uploaded database may cause:

  • Marks: Marks not displaying correctly.

  • Schedules: Schedule discrepancies.

  • Learner totals: Incorrect learner totals.

  • Attendance: Attendance discrepancies.

  • Exports: Export inconsistencies.

How do I patch the uploaded database?

  1. Navigate to My School > d6 Initiatives > Compliance > Export to SA-SAMS Database.

  2. Download the current uploaded database by clicking on the link.

  3. Open the downloaded database using the latest version of SA-SAMS to patch it.

  4. Allow SA-SAMS to complete the patch process.

  5. Close SA-SAMS.

  6. Return to the Export to SA-SAMS Database screen and click Remove to remove the old uploaded database.

  7. Navigate to My School > d6 Initiatives > Compliance > Upload SA-SAMS Database.

  8. Upload the newly patched database.

What should I be careful of?

  • Remove is immediate: Remove deletes the uploaded database immediately without confirmation. Always export the database before removing it.

  • ZIP structure: Do not zip the database inside a folder. The database file must be at the root of the ZIP archive.

Frequently asked questions

What happens if I click Remove before downloading the database?

Remove deletes the uploaded database immediately without a confirmation prompt. Always download and export the database first, so you have a copy to patch and re-upload.

Why is my patched database failing to upload?

The most common cause is the ZIP structure. The database file must be at the root of the ZIP archive, not inside a folder within the archive.

Why are my marks or attendance not matching after an export?

An outdated uploaded database can cause marks not displaying correctly, schedule discrepancies, incorrect learner totals, attendance discrepancies and export inconsistencies. Patch the database to the latest SA-SAMS version and re-upload it.

What information does the uploaded database retain?

It retains statistical information required for SA-SAMS reporting, commonly the Infrastructure Register, LTSM (textbook management) and Assets.
