This article explains how to capture learner attendance and record absentees in d6, including how to mark absences, assign reasons, and use bulk confirmation to lock registers for the week. It is for school administrators and register teachers.
My School > Learners > Attendance > Absentees
Log into d6 and go to the main navigation menu on the left. Select My School > Learners > Attendance > Absentees. Click the Load Absentees button to proceed.
The system displays a list of all official register classes linked to the school. Locate the specific class you want to capture and click the View (eye) icon to open that classroom register.
Select the specific day or week block you wish to capture attendance for.
Under the Show all learners? toggle, select your preferred view layout: Male, Female, or Both.
Click Continue to load the learner register names.
Locate the absent learner on the register grid.
Find the column representing the day of the week they missed (M, T, W, T, F) and tick the checkbox for that specific day.
Move to the Reason dropdown next to their name. By default, set the reason to Unknown Reason or Sick Leave depending on the school’s immediate documentation.
Leave all checkboxes unticked for days the learner was present.
Click Continue or Save at the bottom of the page to commit the records.
At the bottom of the entry screen there is a small checkbox labelled Mark attendance as confirmed for today. This flag immediately locks the register for that day.
Do not tick this checkbox during daily entry. If a learner arrives late after the register has been locked, administrative staff must manually unlock and clear the flag before the record can be edited. Leave this unticked during daily capture to keep the register flexible for late arrivals.
To lock and verify all registers cleanly at the end of the week, use the bulk confirmation process instead of ticking the daily flag on individual registers.
Navigate to My School > Learners > Attendance > Attendance Confirmations.
Select the completed week block using the calendar dropdown filter.
Click Confirm All.
This locks all registers for the selected week in bulk, timestamps the submission run, and records exactly which user verified the final records.
Navigate back to the register for that day, unselect the Mark attendance as confirmed for today flag to unlock it, make the correction, then save. This is why it is recommended not to tick the daily flag during morning capture — bulk confirmation at the end of the week avoids this situation entirely.
Use Unknown Reason as the default. Once the learner returns and provides a note or the school confirms the reason, update the absence record with the correct reason code. Using Unknown Reason ensures the absence is captured immediately without leaving the field blank, which can cause reporting gaps.
No. The absentee register opens one class at a time. Load each register class individually, capture the absences, save, and then return to the class list to open the next class. Use the bulk confirmation at the end of the week to lock all classes in a single step rather than confirming each class separately.
The Confirm All action locks all attendance registers for the selected week block, timestamps the confirmation run, and logs the user who performed the confirmation. This creates a clean audit trail for the week without requiring each individual register to be locked separately during daily capture.
