How to capture learner opening balances
Use this function to post learner (debtor) opening balance journals. This is not related to the general ledger opening balance journal (balance sheet opening). Capture all learner opening balances before posting the general ledger opening balance journal — once the GL journal is posted, this function is no longer available.

How do I capture learner opening balances manually?
Use the search field to locate the relevant learner.
Enter debit balances in the Debit column and credit balances in the Credit column. Do not use a negative sign in the Credit column — use positive amounts only.
Balances save automatically.
How do I capture learner opening balances via Excel?
Click Download Excel template, enter each learner's balance in the Balance column (positive for debit, negative for credit, zero for nil balance), and save.
Click Choose File, select the saved file, and click Import file.
Frequently asked questions
What happens once the journal has been posted?
Once the Learner Opening Balance Journal has been posted, the button disappears and the function is no longer available. Ensure all balances are correct before posting.
