How to configure required registration document types

This article explains how to configure the document types that your school requires during the learner registration process. You can specify which documents must be submitted, add custom document types, and manage how documents are attached to learner profiles in d6.

What document type configuration covers

Document types define what supporting documents a school collects when registering a learner — for example, a certified copy of their ID, a birth certificate, or proof of address. d6 allows you to configure a list of accepted document types and mark which ones are mandatory before enrolment can be completed.

How do I configure document types?

Step 1 — Navigate to document settings

  1. Navigate to My School > General > Document Types.

  2. You will see a list of the default document type already configured in the system(ID).

  3. There are 3 tabs listed, Staff, Learner and Parent.

Step 2 — Add a new document type

  1. Click Add New.

  2. Enter a name for the document type (e.g., Certified ID Copy, Proof of Address, Previous School Report).

  3. Select whether this document is Required (mandatory for all learners) or Optional.

  4. Click Save to add it to the list.

Step 3 — Manage existing document types

  1. Click on any existing document type to edit its name or mandatory status.

  2. To remove a document type that is no longer needed, select it and under status choose Delete. Note: document types that are already attached to learner profiles cannot be deleted.

How do I attach documents to a learner profile?

  1. Navigate to My School > Learners.

  2. Select the Learner Documents.

  3. Search the Learner or Class. Choose file and upload the document according to types listed next to learner name.

  4. Repeat for each required document type.

Important notes

  • Supported file types: d6 accepts common file formats for document uploads including PDF, JPG, and PNG. Check your settings for size limits.

  • School-specific requirements: Configure your document types to match your school's intake form and any Department of Education requirements applicable to your province.

  • ID photos: Learner ID photos can be uploaded as a specific document type. 

Frequently asked questions

Can I make certain documents mandatory only for specific grades?

This depends on your d6 configuration. By default, document requirements apply across all learners. Contact your d6 implementation consultant if you need grade-specific document requirements set up.

Can parents upload documents themselves?

Yes, if your school has enabled the parent portal, parents can upload documents directly. The admin receives a notification and can review and approve the uploaded document from the learner's profile.
