How to create and manage class lists and subject allocation

This article explains how to create class lists and allocate learners to subjects in d6 post-implementation. It is for school administrators and covers creating subject groups, adding learners, and managing changes throughout the year.

Overview of class lists

Class lists link learners to specific subjects for a given year. Each subject group is associated with a teacher and a grade, and determines which learners appear in the marks capture screen. Accurate class lists are essential for correct report card generation and LURITS submissions.

How do I create a new class list?

Step 1 — Generate Class Lists

  1. Navigate to Reports > Learners > Class Lists.

  2. Select the relevant Year and customise information you want to appear on the sheet( addition of parent information)

  3. You can add blank/ customised columns and headings

  4. Select the grade from the left column and throw over to the right to preview and print or export.

Step 2 — Configure the subject group

  1. Navigate to My School> Curriculum>Subject Groups

  2. Select the grade >default to Term 1> Select a subject and create the groups by clicking on add new (This is according to how many classes you have taking that subject and linking the correct educator)

Step 3 — Add learners to the subject group

  1. Open Subject group allocations

  2. Select the grade >default to Term 1 and you can select the learners from the left block and throw them over to the right to activate them by pressing submit. You will only need to set this up for Term 1as the system has a copy  function that allows us to copy over the set up from Term 1 to the rest of the terms.

How do I move a learner between subject groups?

  1. Go to My School > Curriculum > Subject group allocation

  2. Select the correct learner appearing on the right block, throw the name over to the left -deactivating learner from subject group, you then have capabilities to redo the allocation for the one learner.

  3. Do not forget to submit.

Important notes

  • Compulsory vs elective subjects: Compulsory subjects (e.g., Mathematics, Home Language) should be allocated to all learners in the grade. Elective subjects require individual allocation.

  • Marks dependency: A learner cannot have marks captured for a subject they are not allocated to. Ensure all allocations are complete before marks capture begins.

Frequently asked questions

Why can't I see a learner in the marks capture screen?

The learner must be allocated to the subject's class list before they will appear in marks capture. Go to My School > Curriculum > Subject Allocation, find the relevant subject group, and add the learner.

Can one learner appear in more than one class list for the same subject?

No. A learner can only be in one group per subject per year. If you need to move them to a different group, use the Move function to avoid duplicate marks entries.

How do I handle a new learner who joined after class lists were finalised?

You can add subject choices per learner. Navigate to My school> Curriculum> Subject choices per learner

Do I need to recreate class lists every year?

Yes. Class lists are created per academic year. At the start of each year, you can use the roll-over function to copy the previous year's structure and then adjust for new learners and changes in subject offerings.
