How to edit a budget item in an annual budget

This article explains how to edit an existing budget item in d6. You can update the budgeter, item details, annual amount, and monthly allocations at any time.

Purpose of this feature

Editing a budget item allows you to correct or update any details on an existing line item, including changing the responsible budgeter, adjusting amounts, or modifying how the budget is spread across the months of the year.

How do I edit a budget item in an annual budget?

Step 1 - Select the budget

  1. Navigate to My School > Finance > Annual Budgets.

  2. Click the circle next to the budget you want to edit, then click Manage budget items.

  3. The amount displayed is the total of all items within each category.

Step 2 - Locate the budget item

  1. Select the Budget Category that contains the item you want to edit.

  2. Click Select or click the arrow to expand the category.

  3. Click the circle next to the item, then click Edit.

Step 3 - Update the budgeter (if required)

  1. Update the budgeter if necessary.

  2. Click Continue.

Step 4 - Edit item details and amounts

  1. Edit the relevant fields as required.

  2. To view and adjust monthly figures, click Show more to expand all 12 months.

  3. You can update any individual month's amount.

  4. Note: the sum of all monthly amounts must still equal the total annual amount.

Step 5 - Save changes

  1. Click Continue to save your changes.

  2. You will return to the item screen once the update is complete.

Frequently asked questions

Can I change the account linked to a budget item?

The account is set when the item is first created. If you need to change the account, the recommended approach is to delete the existing item and add a new one with the correct account. To add a new item, navigate to My School > Finance > Annual Budgets, select the budget, click Manage budget items, select the category, and click Add. Contact your d6 administrator if you are unsure.

What happens if my monthly amounts don't balance after editing?

The system requires the monthly totals to match the annual amount. If they do not balance, you will not be able to save. Adjust the monthly figures until they equal the total annual amount.

Can I add a new budget item instead of editing an existing one?

Yes. Navigate to My School > Finance > Annual Budgets, select the budget, click Manage budget items, select the relevant budget category, and click Add to create a new line item.
