Bulk importing allows schools to enrol large numbers of learners simultaneously using an Excel template. This is particularly useful at the start of a new year or when migrating from another system.
My School > People > Learners > Learners > Learners: Import Learners
How do I import learners in bulk?
Navigate to Import Learners.
Click Download Template to get the Excel import file.
Complete the required fields in the template. Use country codes without the "+" symbol (e.g., 27 for South Africa).
Save the completed file and upload it using the Import button.
Open the Imported Data tab to review results. Errors are highlighted by colour code — correct any flagged rows and re-upload.
Note: Do not change or rename any column headings in the template. Changing them will cause the import to fail.
Note: Ethnicity and gender are mandatory fields required for LURITS/CEMIS compliance.
Note: Learners can be linked to existing family accounts by including the correct family code in the template.
Frequently asked questions
Why are some rows showing errors after import?
Common causes include missing mandatory fields (ethnicity, gender), incorrect phone number formats, or duplicate ID numbers. Correct the flagged rows and re-upload the file.
Can I change the column headings in the template?
No. The column headings must remain exactly as provided. Changing them will cause the import to fail.
When should I use bulk import?
Bulk importing is most useful at the start of a new year or when migrating from another system where large numbers of learners need to be enrolled at once.
