How to manage learner discipline and recognitions

The Discipline module allows staff with appropriate permissions to record both violations (negative incidents) and recognitions (positive achievements). This centralised tracking ensures a transparent record of learner conduct, which contributes to the school's overall Code of Conduct reporting.

Purpose of the Discipline module

This module facilitates the consistent application of the school's disciplinary policy. By documenting behaviour in real time, the school maintains data integrity for official discipline reports, provides automated totals for merit/demerit systems, and streamlines parent communication regarding learner behaviour.

How do I view discipline records?

Upon opening the module, the system displays a summary of current entries.

  • Filter results: Use the top filters to sort by Grade, Status (Current, Left, or All), and Timeframes (Term, Month, or specific date range).

  • Navigation: The view defaults to 25 results. Change the Results per page setting (up to 500) to view more records simultaneously.

  • Export: Click the Excel icon to download the filtered list for meetings or external reporting.

How do I capture a violation or recognition?

Step 1 — Open the capture screen

  1. Click the Load Discipline button.

  2. Select the grouping method: Register Class, Subject Group, or Individual Learner.

  3. Set Show all learners to Yes for bulk entries or No to search for a specific learner.

  4. Set Show reasons to filter by Recognitions, Violations, or All Reasons.

  5. Optionally select a Specific reason to auto-populate the same entry across multiple learners.

Step 2 — Complete the entry details

  1. Select the Date and the reporting Educator.

  2. Enter Remarks — brief context is recommended for high-level incidents.

  3. Tick Notify Parents to queue a notification. The icon colour indicates the parent's status (d6 Connect App vs. SMS).

  4. Click Continue to save the records.

How do I delete or correct a discipline entry?

  1. Generate a Discipline Report for the learner to confirm the exact entry date and the staff member who recorded it.

  2. Search for the learner in the main discipline view.

  3. Click the Dustbin icon next to the specific entry to remove it from the system.

  • Note: Deleting an entry will automatically recalculate the learner's merit/demerit totals.

How do I send discipline notifications to parents?

  1. Navigate to My Home > Tasks > Code of Conduct Tasks.

  2. Select a Delivery Method: d6 App notification otherwise SMS, Only SMS, or Only d6 App.

  3. Edit the message template using the left pane for Violations and the right pane for Recognitions.

  4. Review the character count (160 characters = 1 SMS part) and click Send.

Frequently asked questions

How do I record a discipline entry for an entire class at once?

Click Load Discipline, select Register Class as the grouping method, set Show all learners to Yes, and choose a specific reason to auto-populate the entry across all learners. Click Continue to save.

Why can't I see the Discipline module in the menu?

The Discipline module is only visible to staff with the "Discipline" permission assigned to their user profile. Contact your school administrator to have the correct rights added to your profile.

Will deleting a discipline entry affect the learner's merit or demerit total?

Yes. When an entry is deleted, the system automatically recalculates the learner's merit and demerit totals to reflect the removal.

Why are parent notifications not sent immediately after capturing a discipline entry?

Notifications are held in a task queue under My Home > Tasks > Code of Conduct Tasks to allow administrators to review and approve messages before they reach parents.

How do I reduce SMS costs when sending discipline notifications?

Select d6 App notification otherwise SMS as the delivery method. This sends via the d6 Connect App where available and only falls back to SMS when the parent does not have the app.
