How to manage Learning Outcomes and Tasks

Learning Outcomes (LOs) or Tasks represent the specific components that make up a subject’s assessment structure. For South African public schools these are pre-loaded based on CAPS requirements. This module allows administrators to create or modify components to suit specific school or updated DOE requirements.

My School > Curriculum > Databases > Learning Outcome/Tasks

How do I view and filter tasks?

  1. Select the Curriculum, Grade and Subject from the filters. If using a Preset Curriculum, ensure the correct CAPS year is selected.

  2. Use the Usage column to see which year and term(s) a task is linked to before editing.

  3. Toggle the status filters to view Active, Inactive or Deleted items.

How do I add a new Learning Outcome/Task?

  1. Click Add New. The Curriculum, Grade and Subject fields auto-populate from your current filters.

  2. Enter the task Name and a unique Code in both English and Afrikaans.

  3. Tick Official DOE only if this is a mandatory DOE component aligned to SA-SAMS requirements.

  4. Set the Ordering value to control the display sequence on reports.

  5. Click Submit.

How do I edit an existing task?

  1. Click on the task in the data grid to open the editable fields.

  2. Modify the Name, Code or Ordering as required.

  3. Click Accept Changes.

Frequently asked questions

Why can’t I delete a task?

A task cannot be deleted if it is currently used in an active Learning Programme. You must first remove the task from the Learning Programme Setup before deleting it. Deleting a task with captured marks would result in corrupted academic records.

Is it safe to rename a CAPS preset task?

Editing preset tasks can cause a mismatch with Preset Promotion Formulas, which look for specific task names and codes. If these are changed, the formula may fail to calculate at year-end. Contact support before modifying preset components.
