How to manage Other Contact Persons

The Other Contact Persons screen is used to manage contacts who are different from parents, staff and learners — for example, sports coaches or extramural educators. A mobile phone icon appears next to the names of contacts who have already registered on d6 Connect.

How do I add Other Contact Persons?

  1. Click Add.

  2. Complete at minimum: Title, Name, Surname, Gender, Correspondence language, Cell number and/or email address.

  3. The Reference number indicates the person's role at the school (e.g. Hockey coach).

  4. Click Save at the bottom of the page.

How do I edit or delete a contact person?

  • Edit: Click on the contact and click Change. Update the details and click Save.

  • Delete: Click on the contact, click Delete, and confirm with OK.

How do I export Other Contacts to Excel?

Click Export on the Other Contacts page. This option is only available to users with Excel Export rights.

How do I import Other Contacts in bulk?

  1. Click Import on the Other Contacts screen.

  2. Click the Template link to download the Excel import template (ImportExcelTemplate.xlsx).

  3. Enter information on the Sheet 1 tab. Do not change the headings.

  4. Complete at minimum: Title, Name, Surname, Gender, Correspondence language, Cell number and/or email address.

  5. Save the file and click Choose file to upload it.

  6. Click Import when all selections have been made. The system will redirect you to the Import Queue page.

Format requirements: Country code without + (e.g. 27), date of birth as yyyy-mm-dd, ID number as 13 digits. If no Title is entered, the system defaults to "Mr".

How do I use Other Contact Persons in communication?

  • Multi-Platform Communication: My School > Communication > Multi-Platform Communication. Select Other Contacts as the audience.

  • Direct message: My School > Communication > d6 Connect News item > New Message > Recipients > Direct Message > Select Other Contacts. Contacts must first register on the app before they appear here.

  • Communication Channel: My School > System > Communication > Communication Channels > Own Channels > Create Channel > Tick Other Contact Persons and select the members.

Frequently asked questions

Why do Other Contact Persons not appear in the selection list for a Direct Message?

Other Contact Persons must first download and register on the d6 Connect app before they appear in the selection list.

Can I group all my Other Contact Persons in the same channel?

Yes. Go to My School > Communication > Communication Channels > Own Channels > Create Channel, tick the Other Contact Persons checkbox, select the members and click Save.
