How to manage Waitlist Admissions

Learners applying to enrol for the following year can be placed on Waitlist A or Waitlist B. The school determines how to use these lists. Most schools use Waitlist A for likely acceptances and Waitlist B for the remainder.

How do I add a learner to a waitlist?

My School > People > Learners > Learners: Learners

  1. Click Register learner at the top of the screen to open a new learner record.

  2. Enter the learner information. Only compulsory fields (marked with a red *) need to be completed initially — the rest can be completed upon acceptance.

  3. The Registration date should be the date the information is entered or the date the application was received. This enables a report to be printed in application order for first-come-first-served processing.

  4. The Admission date is the future date on which the learner will join the school.

How do I accept or decline waitlist applications?

My School > People > Learners > Learner Year-end: Waitlist Admissions

Accepted and declined applications must be indicated per grade during the Admin Year-end procedure so that accepted learners can be allocated to classes for the following year.

  1. The red column shows the number of learners per grade that still need to be accepted or declined.

  2. Click the blue eye icon next to the grade to process.

  3. All learners are initially shown as Placed (admitted for the following year).

  4. Change learners to Not placed (kept on the waitlist for next year) or Withdrawn (application withdrawn) as applicable.

  5. Click Continue to submit the selections and proceed to the next grade.

  6. The process is complete when no learner numbers remain in the red column.

When must Waitlist Admissions be processed?

Waitlist Admissions are processed as part of the Admin Year-end procedure (Phase 1). This must be done before class groupings can be set up for the following year.

Do I need to complete all learner information before adding them to the waitlist?

No. Only the compulsory fields (marked with a red *) must be completed when registering a waitlist learner. The remaining information can be captured when the learner is accepted.

What is the difference between Waitlist A and Waitlist B?

The distinction is set by each school. A common approach is to use Waitlist A for applications likely to be accepted and Waitlist B for the remaining applicants.
