How to match imported asset fields

When importing assets, the system automatically matches imported column headers to the corresponding system fields. The Match Imported Fields step allows you to manually match any fields that were not automatically matched.

  • The system matches both English and Afrikaans field names, provided the spelling is correct. If an automatic match did not occur, compare the spelling of the field in your Asset Import File with the system field names.

  • If a field is not automatically matched, its value does not currently exist in the system and must be matched manually.

  • If a large number of assets has been imported, the match pages may take a long time to load or appear unresponsive. This is normal — do not refresh the browser. If technical difficulties persist, contact the Support Desk.

  • The matching steps can be done in any order, and you can complete some matches and return later to finish the rest.

How do I match imported fields?

  1. On each match screen, unmatched imported values are shown on the left. Select the correct corresponding system value from the drop-down list for each item.

  2. Once all items are matched, a confirmation message will indicate that all fields have been matched successfully.

  3. Complete the matching process for each of the following categories: Owners, Supervisors, Locations, Conditions, Measurement, Categories, Funding Sources, and Suppliers.

Frequently asked questions

Why did some fields not automatically match?

Automatic matching requires the spelling in your import file to exactly match the system field name (in either English or Afrikaans). If a field did not match, verify the spelling and correct it in the import file for future imports, or match it manually this time.

Do I need to complete all match categories in one session?

No. You can complete some categories and return later to match the remaining ones. The process will pick up where you left off.
