How to promote learners

The Promotions function allows you to promote each learner to the next grade. Start with the highest grade when processing promotions.

My School > Learners > Year-End Preparations > Promotions

  • Important: This method of promoting learners is only available for grades where the No Calculation method was selected at My School > Curriculum > Decision Guidelines. If this function is read-only for specific grades, those grades use the 2012 DOE NPPPPR guideline and decisions are calculated automatically.

  • If re-registrations have not been completed, the system will automatically redirect you to that function first.

  • Re-registrations, promotions and admissions must all be completed for a grade before class groupings can be done.

How do I promote learners?

  1. Optionally, generate a Top Achievers Report for all learners, all terms and all subjects to review marks before deciding on promotions.

  2. Go to My School > Learners > Year-End Preparation > Promotions.

  3. For each register class, click the radio button next to the class and click Select, or click the blue eye icon.

  4. The learner list appears. Initially all learners are highlighted in red and marked as Promoted.

  5. For any learner who should not be promoted, click the radio button in the Not Promoted column.

  6. Click Continue to confirm. Entries turn green once saved.

  7. Repeat for all register classes.

Frequently asked questions

Why is the Promotions function read-only for some grades?

Grades set up to use the 2012 DOE NPPPPR guideline have their promotion decisions calculated automatically by the system. Manual promotion is only available for grades using the No Calculation method, which is configured at My School > Curriculum > Decision Guidelines.
