How to set up and manage online re-registration and data verification campaigns

The Online Re-registration and Data Verification platform lets parents confirm whether their child will return the following year (securing placement) and verify that their contact and biographical details are correct — replacing hard-copy forms with a digital workflow that saves significant admin time.

Which campaign type should I use? A Re-registration campaign works as both a re-registration and a data verification tool — parents confirm return status and update details. A Data Verification campaign is only for verifying and updating information, with no return-status question. Choose Re-registration for year-end placement, Data Verification for a mid-year details check.

Note: If you have already processed the Re-registration step within the Admin Year-End module, run a Data Verification campaign instead of a Re-registration campaign.

Before you start: two prerequisites

  • Configure layout and formatting first. Even if you only use the re-registration or data verification module, you must first set up the layout and formatting under the Online Registrations module, so campaigns carry your school's branding, colours and layout.

  • Enable communication on the learner profile. For a parent to receive the link, the "receive for communication" setting on the learner's profile must be set to Yes. This is the most common reason parents do not receive links.

Step 1: Create a campaign

Click Add Campaign, name it clearly (e.g. Grade 8 Re-registration 2027), choose the campaign type, and select how messages are sent (SMS, Email, or Both). Schools are billed per SMS (approximately R0.29 per 160 characters). Running a campaign per grade or register class makes it far easier to manage and track responses.

Step 2: Set up the message template

Complete the subject and body in English and Afrikaans, and use the tag buttons to personalise the message. You must insert the unique parent link (under the Other tag category, click Link). A customised template without this link produces an email the parent cannot use to open the form. Each parent receives a unique, personalised link so the system updates the correct individual's details. Remember to leave a space before and after each tag field.

Step 3: Select fields and OTP

Choose which fields parents can see and edit. A few important points:

  • Legal documents (Contract, Parent Declaration, Permission & Consent, Indemnity) can be displayed but cannot be signed online — send these separately to be printed and signed.

  • Document types for re-registration are managed on a separate tab from general online registrations — configure them for your needs.

  • OTP: choose SMS, Email, or Both. Note the OTP timer is not the time to enter the code — it is the wait before a new OTP can be requested. Each OTP stays valid for one hour.

  • Private option: for non-mandatory sections (e.g. medical information), parents can select "private" to bypass fields they prefer not to complete.

Step 4: What happens when you release the campaign to parents

Select the register classes, then send a draft to yourself to check the layout and link before going live. Understand what publishing does:

  • A draft is not live. Saving as a draft does not send anything to parents.

  • Publishing is final. Once published, the campaign cannot be reversed, and you cannot add or remove individual learners or undo it. If you make a mistake, you must create a new campaign.

  • Each parent gets a unique link by email and/or SMS, and can then open the form, update details, and submit.

  • Already re-registered learners are excluded. The system will not send a form to a learner already marked as re-registered in the admin year-end module, preventing duplicates.

  • Resending: you cannot retrieve an individual link manually. To reach a parent who has not responded, use the resend function to the targeted group.

Step 5: Review and process submissions

On the Submissions tab, click View/Edit for a learner. The screen shows the Current Value alongside the Submitted Value from the parent. The school retains full authority to accept or reject each change (including where one parent altered the other's information). Click Submit to update the profile — this overwrites the existing data immediately, so review each change first.

Troubleshooting

Parents are not receiving the registration links

Check that "receive for communication" is set to Yes on the learner profile, confirm the contact details are correct, and verify the campaign status is active. Then use the resend function.

No registration emails were delivered at all

Check the campaign status to confirm it is actually active (published), not still a draft.

The email reaches parents but the link does not work

The unique link placeholder was likely left out when the template was customised. The link must be inserted from the Other tag category. Create a new campaign with the link included.

A grade or class does not appear in the campaign audience

Those learners may already be in the admin year-end re-registration process. Remove them from that process so they appear in the campaign audience.

A parent says the OTP expired too quickly

The timer is the wait before requesting a new OTP, not the entry time. Each OTP is valid for one hour.

Frequently asked questions

Can parents use the same link for siblings?

No. Each learner has a unique, encrypted link, so parents with multiple children receive a separate message per child.

What if the two parents submit conflicting information?

If one parent says the learner is returning and the other says they are leaving, the system does not resolve it automatically. The school must contact the parents directly to confirm the correct status.

Can I edit a campaign after publishing it?

No. Publishing is final and cannot be reversed. Verify everything with a draft to yourself first; if a change is essential, create a new campaign.

How does a parent update a learner who changed from a foreign passport to SA residency?

Changing the nationality field triggers the appropriate passport or residency requirements, allowing the parent to capture the correct data.

What happens when I close a campaign?

The links become null and void and parents can no longer submit. Only close a campaign once all relevant parents have responded.

Can the school retrieve an individual parent's link?

No. Links cannot be retrieved manually. Use the resend function to the targeted group to reach parents who have not yet responded.
