How to transfer debtor accounts between collectors and generate statements

This article explains how to transfer debtor accounts from one collector to another and how to generate collector account statements. The Collector to Collector journal is typically used when a collection partner was set up as a standard collector before they integrated with d6, and accounts need to be moved to the new d6 Collection Partner account.

When do I need to transfer accounts between collectors?

If a collection partner was previously set up as a standard collector in d6 Finance before they decided to integrate with d6, you will have two collector accounts for the same partner — the original (incorrect) one and the new d6 Collection Partner account. You need to transfer all the accounts handed over from the old collector to the new one so that the integration works correctly.

How do I transfer accounts from one collector to another?

Follow these steps to create a Collector-to-Collector handover journal.

  1. Navigate to Finances > Debtors > Journals.

  2. Click the Do a journal button.

  3. Under Journal information, select Debtor Handover Journal as the journal type.

  4. Set the Journal from field to Collector to Collector.

  5. Select the original (incorrect) collector account as the From Collector.

  6. Click Continue and select the new d6 Collection Partner account as the destination.

  7. Enter the total amount for the handover.

  8. Ensure that all linked accounts are transferred to the new collector.

  9. Click Continue to finalise the transfer.

Once the transfer is complete, all previously handed-over accounts will now sit under the correct d6 Collection Partner account.

How do I generate collector account statements?

After debtor accounts have been handed over or transferred, you can generate statements for the collection partner.

Finances > Account Statements

  1. Navigate to Finances > Account Statements.

  2. Under Type, select Collector and choose the relevant collection partner.

  3. To create statements for all learners who have been handed over, click Select All.

  4. An email template is available where you can include the collector's contact details before sending.

Important notes

  • Collector to Collector vs School debtors to Collector: The Collector to Collector journal is only needed when transferring accounts between two existing collector accounts. For first-time handovers from the school, use School debtors to Collector instead.

  • Verify after transfer: After completing the Collector to Collector journal, confirm that all accounts appear under the new d6 Collection Partner account before generating statements.
