The Learner Overview module serves as a centralised data hub, providing a comprehensive 360-degree view of a learner's school career. It consolidates biographical details, parent/guardian contact information, conduct history, academic performance, and attendance records into a single interface.

Purpose of feature

This feature eliminates the need to navigate between multiple system sections to compile a complete learner profile. It ensures authorised staff have immediate access to critical data for counselling, administrative updates, and parent communication.

Step-by-step instructions

1. Searching for a learner

  • Enter at least 3 characters (name, surname, family code, or admission number) into the search block. Results filter automatically.

  • Use the Status dropdown to include active, prospective, or past learners.

  • Click Reset to clear search criteria for a new query.

2. Managing information tabs

  • Learner tab (Biographical): View core data across Personal, School, Medical, and Other sub-tabs.

    • To edit: Click Edit Learner to update records via the 6-step setup wizard.

    • To export: Use the Print (PDF) or Excel buttons at the bottom of the page.

  • Parents tab: Manage contact and account details for Guardians 1, 2, and the Accountable Person.

    • To edit: Click Edit Parent/Guardian. This opens Step 4 of the family setup in a new window.

  • Conduct tab: View a summary of disciplinary history.

    • Note: This is a read-only summary. To add incidents, go to My School > Learners > Discipline.

    • To print: Click Discipline Report, select the learner, click Preview, then Print.

  • Academics tab: View current subjects and preliminary marks.

    • Note: This is a read-only view. To edit, go to My School > Curriculum.

    • To print: Click Generate Report, select options, and click Generate Reports.

  • Attendance tab: View presence history. Previous school absences are marked as "OB" (e.g., OB:18).

    • To update: Go to My School > Learners > Attendance: Absentees.

  • Notes & Documents tab:

    • Add note: Click Add Note. Select Public (all users with rights) or Private (restricted to specific roles).

    • Upload: Use Choose File under Documents to attach external files (e.g., certificates).

System behaviour

  • Pop-up blockers: If a PDF report fails to open, ensure your browser allows pop-ups for the d6 platform.

  • Data synchronisation: Updates made via the Edit buttons reflect globally across the system (Finance, Communication, and Admin).

  • Preliminary marks: Academic marks displayed during the year are calculations based on current data and are subject to change until year-end finalisation.

Restrictions & reasons

  • Tab visibility: Specific tabs are hidden if the user has not been granted "Learner Overview Rights" in Staff Management. This ensures data security and POPIA compliance.

  • Read-only sections: Conduct and Academics tabs are restricted to viewing only, to prevent accidental modification of moderated records.

  • Code of conduct totals: Accumulated totals (e.g., demerits) expire based on School Setup (Monthly, Termly, etc.). Do not change this mid-year as it recalculates historical totals.

Frequently asked questions

Why can't I see all tabs in Learner Overview?

Tab visibility is controlled by user permissions. Contact your system administrator to request "Learner Overview Rights" via Staff Management.

Why are the Conduct and Academics tabs read-only?

These tabs are intentionally restricted to prevent accidental changes to moderated records. To make changes, navigate to the relevant module (Discipline or Curriculum) directly.

Why is a PDF report not opening?

Your browser may be blocking pop-ups. Allow pop-ups for the d6 platform in your browser settings and try again.

Will edits I make in Learner Overview affect other modules?

Yes. Any updates made via the Edit buttons synchronise across the entire system, including Finance, Communication, and Admin.

Why have my conduct totals reset unexpectedly?

Conduct totals expire according to the reset period configured in School Setup (Monthly, Termly, etc.). Avoid changing this setting mid-year as it will recalculate all historical totals.
