Importing Members in Bulk

If you have many members to add at once — for example, at the start of a new school year — you can import them from a spreadsheet. This saves time and avoids manual data entry errors.

How do I import members from a spreadsheet?

  1. Go to Members and click Import. You will be directed to a 3-part process.

  2. Select the import type:

    • Basic Import: Does not include parent-child linking.

    • Advanced Import: Includes parent-child linking.

    Click Next.

  3. Download the import template provided on the page. Do not change the column headings.

  4. Fill in your members' details in the spreadsheet. Save the file in Excel format (.xlsx).

  5. Select your unique identifier (for example, ID number) from the dropdown menu.

  6. Upload the completed file back to the portal.

  7. If there are errors, the portal will email you a sheet showing exactly what needs to be corrected. Fix the errors and re-upload — this will not create duplicate records.

System behaviour and restrictions

  • Admin only: Only the Main Administrator can import members.

  • First-time assistance: A d6 System Implementor will assist you the first time you run an import.

  • No duplicates: Re-uploading a corrected file will not create duplicates — the system matches records by the unique identifier you selected.

Frequently asked questions

What file format does the import require?

The file must be saved in Excel format (.xlsx). Download the template provided on the import page and do not change the column headings.

Will re-uploading a corrected file create duplicate members?

No. The system matches records using the unique identifier you selected (such as ID number). If a record already exists, it will be updated rather than duplicated.

What is the difference between basic and advanced import?

A Basic Import adds members without linking parents to children. An Advanced Import includes parent-child linking, so you can set up family relationships during the import.

What happens if there are errors in my spreadsheet?

The portal will email you a sheet highlighting the exact errors. Fix the errors in the spreadsheet and re-upload the corrected file. Existing records will not be duplicated.

Can any system user run an import?

No. Only the Main Administrator can import members. A d6 System Implementor will assist you the first time you run an import.
