How to capture marks per learner

The Marks per Learner function allows administrative users or educators to capture academic results for a specific learner across all their assigned subjects within a selected cycle. It is ideal for individual academic adjustments or for learners who join the school mid-year.

My School > People > Learners > Learner Marks > Marks per Learner

Step 1 — Learner selection

  1. Select the relevant Academic Year and Learner Status.

  2. Use the Search Learner function and type the learner's first name or surname.

Step 2 — Management and capture

Three options are available:

  • Select Subjects: Select the Term and Curriculum. Confirm that the correct subjects appear on the right-hand side (linked list).

  • Manage Subjects: Select the Term and Curriculum. Remove or add subjects and edit as needed.

  • Capture Marks: Select the Term, Curriculum and the specific Subject to capture marks.

Step 3 — Capturing marks

  1. Click the Capture marks tab to expand the assessment tasks.

  2. Enter the raw marks in the designated Mark fields for each task.

  3. Click Accept Changes at the top of the screen to save the data.

System behaviour:

  • Automatic calculations: Percentages and weighted totals are calculated automatically based on the weights in the Subject setup.

  • Data synchronisation: Captured marks are immediately reflected in the Marks per Group view, Learner Profile and academic reports.

  • Validation: The system prevents a mark higher than the maximum mark for the assessment task from being entered.

Frequently asked questions

Why does a subject type weights error message appear?

The curriculum structure is incomplete. Click Yes on the message to be taken directly to My School > System > Curriculum > Curriculum Setup > Learning Programme Setup to add the outstanding weights.

Why is a learner or subject missing?

The learner must first be linked to the subject. Use the Manage Subjects column or go to My School > System > Curriculum > Learner Subjects > Subject Choices per Learner to correct the link.

Why can I not edit a previous term's marks?

If the cycle has been finalised or closed by the Administrator, the data is read-only. This protects data integrity after official reports have been issued or departmental data submitted.
