Class Allocation

Class allocation can only be done after the re-registration and promotion procedures have been completed. Remember to process admissions first before running class allocation. The system will warn you if prerequisite steps have not yet been completed.

Preparation before class allocation

  • Determine how many classes per grade are needed for the following year.

  • Ensure that re-registration and promotion have been completed, and that admissions have already been processed.

How do I do class allocation?

  1. Select the Grade for which you want to do class allocation by clicking the > button, then click the blue Select button.

  2. Confirm the learner statuses displayed: Re-registered (learners returning), Retained (learners repeating the grade) and New enrolments (learners from the waiting list).

  3. Select the class allocation for language of instruction via the drop-down arrow.

  4. Select the grouping method and the method under Allocate according to.

  5. Select Yes or No for the Gender option. If Yes, the system will attempt to divide boys and girls equally across classes.

  6. Enter the number of classes for the following year.

  7. Select the display order: Alphabetical or Academic.

  8. Click the green Continue button to save your selections.

  9. Allocate learners per class by clicking the white dots, then click Continue again to save the allocation.

Important: The preliminary class allocation can be repeated to make changes. Be careful not to set the "Redo class allocation" option to Yes.

Frequently asked questions

Why can I not do class allocation?

Class allocation is only available after re-registration and promotion have been completed. Also ensure that admissions have been finalised first. The system will indicate which steps are still outstanding.

Can I edit the class allocation later?

Yes. The preliminary class allocation can be repeated to make changes. Avoid setting the "Redo class allocation" option to Yes, as this will erase the existing allocation.

Can the system take learner gender into account during class allocation?

Yes. Set the Gender option to Yes to enable the system to divide boys and girls as equally as possible across the classes.
