The Classroom Management module is used to define the physical and administrative spaces within a school. It allows administrators to create new classrooms, designate them as register classes, link form teachers and swap resources in bulk.

How do I create a new classroom?

Before you begin, ensure the classroom does not already exist under Not in use in {Year}.

  1. Click the Create Classroom button.

  2. Enter a unique Classroom or room number. Duplicate room numbers are not permitted.

  3. Indicate whether the room is a Register class:

  • Yes: The room houses a grade group (e.g. Gr 4A).

  • No: The room is a specialist facility (e.g. Library, Science Laboratory, Computer Centre).

Completing register class information

If the room is designated as a register class, complete the following:

  • Grade: Select the relevant grade.

  • Register Class Reference: Enter the suffix (e.g. "A"). For Grade 4 A, type only "A" — it appears next to the grade number on reports.

  • Language of instruction: Select the language option (Dual medium or Parallel medium).

  • Form teacher: Select the teacher. Only staff not already linked to another register class will appear in the list.

  • Click Add.

How do I swap classrooms?

  1. Select the radio button next to a class and click Swap Classrooms.

  2. Select the two classrooms involved in the swap.

  3. Select which elements should move with the swap: Form teachers, Learners, and/or Register Class References. If not selected, only the room numbers are swapped.

  4. Click Continue.

Frequently asked questions

Why does a teacher's name not appear in the Form teacher selection?

The teacher must already be loaded in the Staff module and must not currently be linked to another register class. Check the staff profile and any existing classroom links.

What is the difference between a Classroom number and a Register Class Reference?

The Classroom number refers to the physical room (e.g. Room 12). The Register Class Reference refers to the learner group (e.g. "A"). On reports these are combined to show e.g. Grade 4 A.

Can a teacher be linked to more than one register class?

No. A teacher can only be linked to one register class at a time, as attendance registers and pastoral reporting are based on a 1-to-1 relationship.
