Copying Learning Programmes

The Copy Learning Programmes function allows schools to duplicate curriculum structures, subject choices and assessment settings from one period to another. This reduces manual data entry during term transitions or the year-end rollover process.

My School > System > Curriculum > Curriculum Setup: Copy Learning Programmes

Copy from term to term (within the same year)

  1. Ensure the target term exists under My School > System > Curriculum > Curriculum Setup: Learning Programmes. If not, add it first.

  2. Navigate to Copy Learning Programmes.

  3. Select the Year and Grade.

  4. Select the Learning Programmes (source) and the Learning Programme to copy to (target).

  5. Tick the checkboxes for the data components to transfer.

  6. Click Copy.

Copy from year to year (year-end rollover)

  1. Navigate to Copy Learning Programmes.

  2. In the Source section (Green), select the previous year and grade.

  3. In the Target section (Red), select the new academic year. If the year does not appear, first create the Learning Programmes under My School > System > Curriculum > Curriculum Setup: Learning Programmes.

  4. Select the appropriate transfer options (e.g. Assessments, Formulas, Result Methods).

  5. Click Copy to transfer the setup to all four terms of the new year.

Frequently asked questions

Should schools using CAPS pre-setups copy from year to year?

No. Schools using official CAPS pre-setups should not copy from year to year. Wait for the release of the new year's official pre-setup to ensure the latest departmental weights are correctly applied.

Why is a term not available as a target term?

Once a term has been used as a target or data has already been captured in it, it is no longer available. This prevents existing data from being accidentally overwritten.

Must I create Learning Programmes before I can copy?

Yes. The system requires an existing target period or year structure before data can be copied. Create the Learning Programme first under My School > System > Curriculum > Curriculum Setup: Learning Programmes and then return to the Copy screen.
