Link Imported Fields

After assets have been imported, the imported asset fields must be linked to system fields. This includes owners, supervisors, areas, conditions, units of measure, categories, funding sources and suppliers. Fields that match will be linked automatically — check spelling if an automatic link did not occur.

My School > System > Assets > Manage > Link Imported Fields

How to link owners to assets

  1. Click Link asset owner fields after the assets have been imported. Alternatively, navigate to My School > System > Assets > Manage > Link Imported Fields > Link Asset Owners.

  2. The left-hand side displays the owners as extracted from the asset import file.

  3. Select the corresponding person from the drop-down lists.

  4. Click Save and confirm with Yes.

How to link supervisors to assets

  1. Click Link asset supervisor fields or navigate to Link Supervisors.

  2. Select the corresponding supervisor from the drop-down lists.

  3. Click Save and confirm with Yes.

How to link areas, conditions and units of measure

  1. Click the relevant button: Link asset area fields, Link asset condition fields, or Link asset unit of measure fields.

  2. The left-hand side displays the imported values. Select the corresponding system value from the drop-down lists.

  3. Click Save and confirm with Yes.

How to link categories, funding sources and suppliers

  1. Click the relevant button: Link asset category fields, Link asset funding fields or Link asset supplier fields.

  2. Select the corresponding value from the drop-down lists.

  3. Click Save and confirm with Yes.

Note: Use the Exit button to leave a linking screen. If you have not yet saved, the system will ask whether you are sure. Click Save first if you want to keep your changes.

Frequently asked questions

Why was a field not linked automatically?

The system links fields automatically when spelling matches. Check the spelling in both your import file and the system — including both the English and Afrikaans names. If it still does not link, map it manually from the drop-down lists.

Do I need to complete all linking steps in one session?

No. You can complete the process in any order and return later to finish the rest. It is however advisable to complete the entire process from import to the final step in one go.

What happens if a field is not linked?

If a field is not linked, the value will not exist in the system. Link all fields to ensure asset information is complete and accurate.
