How to generate a learner numbers report

The Learner Numbers report generates a count of learners by grade, class, gender, and year. This article explains how to configure and run the report. Before generating figures for the following year, ensure that admissions, re-registration, and promotions have been completed.

How do I generate a learner numbers report?

  1. Choose to show Current learners or Re-registrations/Transfers.

  2. If you chose re-registrations/transfers, also specify whether to include learners on the waiting list.

  3. Choose the year.

  4. Choose the date.

  5. If showing current learners, choose to show numbers of Eldest/only or Youngest/only, and choose whether to show attendance.

  6. Select register classes and move them to the right using the >> arrows button.

  7. Click Preview to generate the report as a PDF. 

Frequently asked questions

Can learner attendance also be displayed on the learner numbers report?

Yes. When generating for current learners, click the Show attendance dropdown and select the date for which attendance should be displayed.

Why should I complete admissions and promotions before generating next year's figures?

The report draws on live registration data. Completing admissions, re-registrations, and promotions first ensures that the preliminary figures for the following year are accurate and include all expected learners.

Can I include learners on the waiting list in the report?

Yes. When you select Re-registrations/Transfers in step 1, you will be prompted to specify whether waiting list learners should be included in the figures.

What is the difference between Eldest/only and Youngest/only?

These options control which learner in a family is counted for funding or headcount purposes. Eldest/only counts the oldest learner in a family, while Youngest/only counts the youngest. This is relevant for schools that apply sibling-based billing or reporting rules.
