Learner Support

Learner Support

Overview

The Learner Support module is a centralized repository for documenting academic, emotional, or behavioral interventions. It allows the school to maintain a chronological record of support provided to Learners, ensuring continuity of care and professional record-keeping.

My School > Learners > Learners: Learner Support

Purpose of Feature

To document assistance, interventions, or suggestions provided to a learner. This data serves as a formal record for parent meetings, departmental requirements, and internal handover processes between educators.

Step-by-Step Instructions

1. Viewing and Filtering Records

Upon entering the module, the system displays existing support entries based on the active session parameters.

  • Filter Criteria: Use the drop-down menus to filter by Academic Year, Term, Grade, Class, or Support Category.

  • Exporting Data: Users with Excel export rights can click the export icon to generate a report for formal support meetings or printing.

2. Capturing New Learner Support

To record a new intervention:

  1. Click the Load Support button.

  2. Locate the learner using the Search bar or grade/class filters.

  3. Click the View (Blue Eye) icon next to the learner's name.

  4. Select Category:  Choose between Barriers to Learning, Chronic Conditions or Social and Mental Issues.

  5. Select Date: Choose the date the support was administered or suggested.

  6. Action Taken: Select the specific intervention step from the predefined list.

  7. Comments: Enter technical details regarding the support provided. While optional, specific descriptions are recommended for historical accuracy.

  8. Click Continue to commit the record to the database.

System Behaviour

  • Term-Based Silos: Records are indexed by Year and Term. To view historical support from previous terms, the filter must be manually adjusted.

  • Data Linking: Support entries are linked to the learner’s unique ID and are visible to staff with the appropriate permissions in the Learner Overview.

  • Predefined Actions: The "Type of Support" and "Action Taken" lists are populated from the system’s general configuration to ensure standardized reporting across the school.

Restrictions & Reasons

  • User Rights: Access to view, load, or export support data is restricted based on User Roles (typically 1.3 Learner / Parent Administration). This ensures the confidentiality of sensitive learner intervention data.

  • Sequential Loading: A learner must be active in the system before support can be logged. Support cannot be backdated to a period before the learner’s official enrollment date to maintain data integrity.
