Learner absences are used for several purposes: attendance statistics for the Department, days absent on reports, incentives for 100% attendance, and certificates. Accurate entry is important as it affects many other processes.
My School > People > Learners > Attendance: Absences
Best practice: Ensure that terms and school holidays are correctly set up before capturing absences.
Use the Excel button to export data, or the Excel Reports button for various attendance reports.
Click Load absences to enter new absences.
Absences can be captured per Register Class, per Learner or per House Sports Teams. Select the register class by clicking the circle next to the class and then clicking Select (or click directly on the blue eye icon next to the class).
Select any school day of the week.
Select whether to display all learners or only absent learners.
Click Continue.
Select the learner from the Select a learner drop-down.
Click the checkbox(es) for the day(s) on which the learner was absent. A tick will appear in the checkbox.
Select the reason for absence from the drop-down.
Select which parent(s) should receive an SMS (Parent 1, Parent 2 or both), if applicable.
For more than one absent learner, click Add row.
To remove an incorrect row, tick the checkbox next to the row number and click Delete rows.
Click Continue to save the data.
If the system is configured to send SMS messages for absences, a communication task will be created for the user.
Go to My School > System > General > School Setup: Absences Information. Here you select whether Parent 1 or Parent 2 should receive an SMS when an absence is captured.
